Job Title: Vehicle Operations Logistics Specialist.
Location(s): Bordentown, NJ.

Position Summary:

  • The Vehicle Operations Logistics Specialist is responsible for coordinating and managing the transportation of customer vehicles within an assigned region.
  • This role ensures accurate order processing, proactive carrier follow-up, and strong collaboration with internal teams to support efficient vehicle movement and margin performance.
Key Responsibilities:
  • Make real-time outbound phone calls via recorded line to verify vehicle status with pickup locations.
  • Build strong working relationships with auction commercial teams and regional management.
  • Communicate effectively using recorded phone systems and professional email correspondence.
  • Manage shared and regional email inboxes for multiple locations.
  • Enter manual orders and process system-generated orders (AS400 platform).
  • Manage escalated client VIN issues in collaboration with peers and transportation agents.
  • Monitor transportation holds and verification delays.
  • Negotiate dispatch terms with carriers and apply sales tactics to optimize margin.
  • Take action within AutoIMS for transportation delay holds, cancellations, and ETA updates.
  • Follow up daily with carriers regarding multiple VIN shipments.
  • Process transportation fees and assessorial charges accurately.
  • Request hold harmless agreements and release documentation.
  • Investigate carrier kickbacks and coordinate re-dispatch of vehicles.
  • Hold carriers accountable to agreed transportation plans.
  • Develop and manage vendor corrective action plans.
  • Monitor order entry failures and resolve discrepancies.
  • Track and understand margin performance relative to role expectations.
  • Correct and maintain master data files for location accuracy.
  • Analyze performance metrics for clients and vendors.
  • Prepare and present transportation performance reports for senior leadership.
  • Compile and generate vehicle transportation data reports.
  • Perform additional duties as assigned.
Required Qualifications:
  • 1-3 years of administrative experience (automotive industry experience preferred).
  • Proficiency in Microsoft Excel, Outlook, and Word.
  • Ability to work independently in a matrixed environment.
  • Strong customer service and multitasking abilities.
  • High attention to detail and data accuracy.
  • Excellent written and verbal communication skills.
  • Ability to operate with urgency in a fast-paced environment.
  • High School Diploma or equivalent.
  • Valid Driver's License.
  • Ability to pass a background check and drug screening.
Preferred Qualifications:
  • Some college education.
  • 1+ year of experience in transportation or automotive auction operations.
  • 1+ year of experience in sales or a call center environment.
