Education, Training and Experience

  • High school diploma or equivalent; some college or Associates degree preferred
  • 2 years experience as an Administrative Assistant or similar work experience

Knowledge, Skills and Abilities

  • Strong Knowledge of MS Office, with particular proficiency in Word, Excel, PowerPoint and Access
  • Working Knowledge of bidding processes and steps in preparing and submitting response
  • Strong knowledge of Microsoft Word, Excel, PowerPoint, etc.
  • Excellent interpersonal, leadership, presentation, and collaborative skills to work effectively with both proposal teams and executive level management
  • Strong problem solving, prioritizing, organizing and time management skills
  • Excellent verbal and written communication skills

Duties and Responsibilities

Under the direct supervision perform the following duties and responsibilities. Other miscellaneous duties may be assigned.

  • Calendar and time management-schedule resources such as people, meetings, appointments, meeting space, equipment or other resources.
  • Continual monitoring of schedules to ensure meetings, calls, are free of scheduling conflicts.
  • Prepare presentations-reports, proposal responses, spreadsheets using various software packages
  • Point of Contact for Executive Staff-answer phone calls, take messages, respond to questions and direct calls/questions to appropriate parties
  • Maintain and update database information
  • Perform administrative functions such as ordering supplies, schedule management, expense reporting using Concur
  • Coordinates detailed travel arrangements for multiple executives and staff and oversees that changes or problems are resolved and communicated
  • Sorts and distributes mail and packages for executive staff
  • Maintains adequate supplies needed for proposal development
  • Greet and assists visitors and arranges for building escorts as necessary
  • Gathers and arranges materials and relevant information for assigned executives or projects
  • Types letters, prepares reports from drafts and proofreads /reviews documents for error
  • Assists in group travel reservations and on-site and off-site meeting planning
  • Availability for light travel
