Job Description

This position provides varied business, fiscal, and operational support for the Sinclair School of Nursing (SSON), serving as a key liaison with Shared Services and vendors to ensure accurate processing of fiscal transactions, contracts, reimbursements, procurement, and travel. The role also supports HR functions such as recruitment, onboarding, and personnel actions; and assists the School with event coordination, committee support, and general office operations. Resolves issues as they arise; and provides backup coverage to other positions as needed.

Responsibilities include:

Provide a variety of business and operational support to SSON faculty, staff, students and other stakeholders as needed. Provide information and guidance on applicable policies and procedures and assist in compliance.

Serve as a primary contact with Shared Services for the school relating to designated business and fiscal matters and transactions. This includes submitting and following up on the status of submissions, etc.

Perform a broad variety of fiscal support duties including but not limited to completing and tracking reimbursements and invoice payments, OneCard applications and reconciliations, processing travel expense vouchers and reconciliation, creating journal entries, accounts receivable (AR), accounts payable (AP) entry, and tracking of purchase orders (POs), gift card purchases, and other payments and tracking (vendor payments, etc.).

Process, submit, and track or follow up on contracts.

Work directly with vendors on account set-up, maintenance, and follow up. Serve as a primary point of contact with vendors as assigned.

Provide business support in areas such as supply coordination, assisting in records management, and assisting faculty and staff with travel and accommodations as needed including booking flights, conference registrations, rental cars, etc.

Support human resources in recruitment and onboarding activities, including communicating with applicants and supervisors, scheduling for and assisting with meetings, and performing assignments that may include processing actions of new hires, terminations, pay adjustments, and corrections, data entry, and record keeping. Coordinate the hospital badging process. May assist with training and development activities.

Serve on or provide administrative support for designated committees.

Coordinate or assist in the coordination/execution of events, conferences, meetings, etc. including but not limited to scheduling, conference registrations, hotel reservations, associated reporting, day-of assistance, etc. as assigned.

May perform backup duties to other roles within the office including administrative support, assistance with facilities, or the duties of other SSON staff during periods of short staffing, high volume workloads, or peak business cycles.

For all areas of responsibility, appropriately identify, resolve, or escalate issues or problems as they arise.

Perform other duties as assigned.

Shift

Monday through Friday, 8:00 a.m. to 5:00 p.m. with an occasional need to work over 40 hours in the workweek

Minimum Qualifications

An Associate's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

* Working knowledge of MU PeopleSoft financial system (grants module, accounts payable and e-Pro) and Microsoft Office.
* Ability to work independently but also as a team member.
* A strong work ethic with the ability to effectively determine priorities.
* Excellent professional communication, organizational skills and attention to detail with the ability to meet deadlines

Anticipated Hiring Range

Salary Range: $18.50 to $20.50 per hour
