DESCRIPTION OF WORK

As a Clerical Assistant 3, you will be responsible for time and attendance duties involving checking and verifying information in the database, entering accurate data, and notifying employees to enter leave as needed. Courteous and attentive customer service skills are essential, as you will be communicating with employees and supervisors to address payroll issues or questions. Specific duties include receiving daily attendance and overtime reports from departments and initiating communication with managers and supervisors to obtain missing information in order to resolve questionable information, addressing any changes as needed. Work also involves close collaboration with the central office time advisor to update overtime information while ensuring work schedules and meal periods are accurate. This is vital for maintaining compliance with the pension reform and for correcting errors or updating information in response to audit reports and exception reports for overtime thresholds.

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with a 30-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time, up to three days per week. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Torrance. The ability to telework is subject to change at any time. Additional details may be provided during the interview.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.

Additional Requirements:

  • You must have one year of experience performing the full scope of timekeeping duties in support of staff working across three different shifts in a 24/7 facility that manages civil and forensic operations.
  • You must have one year of experience performing timekeeping duties, maintaining pay rules and leave for multiple bargaining unit contracts.
  • You must have one year of experience processing transactions, updating errors, and running time reports in SAP.
  • You must be able to perform essential job functions.

Legal Requirements:

  • A conditional offer of employment will require a medical examination.
  • This position falls under the provisions of the Older Adult Protective Services Act.
    • Under the Act, a conditional offer of employment will require submission and approval of satisfactory criminal history reports, including but not limited to, PA State Police and FBI clearance.
