Purpose

The Academic Program Coordinator serves as an integral member of the Executive MBA operations team and a strategic operational and student services partner for the Texas McCombs Executive MBA (EMBA) program. This role is responsible for delivering high-level administrative support, managing complex program logistics, and functioning as a central point of contact for students, faculty, and staff across the MBA portfolio.

Responsibilities

Program Coordination & Event Management

  • Coordinate all EMBA class weekends (on-site and off-site) including scheduling, vendor management, logistics, room setups, and on-the-ground support.
  • Support planning and execution for major program events such as Orientation, Immersions, Student Leadership Activities, and Graduation.
  • Serve as backup to Senior Academic Program Coordinator and collaborate closely with faculty, hotels, caterers, guest speakers, and campus partners.

Student Experience & Communications

  • Act as the primary student-facing contact - triaging questions, providing resources, and identifying solutions to academic or logistical concerns.
  • Create and distribute weekly program updates, maintain Canvas or similar LMS pages, and manage student listservs.
  • Support delivery of all class sessions and community-building events.
  • Build strong rapport with students, faculty, and cross-functional teams.

Student Organization Advising

  • Advise EMBA student organizations, ensuring adherence to University policies.
  • Manage organization budgets, review activities, and support leadership development opportunities.

Stakeholder & Administrative Coordination

  • Coordinate faculty and staff travel, including processing RTAs and reimbursements.
  • Maintain student/faculty rosters and provide administrative support for academic records, scheduling, and documentation.

Process Improvement & Strategic Projects

  • Contribute ideas and feedback to streamline operational workflows.
  • Support implementation of new program initiatives, tools, or process enhancements.

Assists with additional administrative duties as assigned.

Required Qualifications
  • Bachelor's degree and 3 or more years of relevant experience coordinating programs.
  • Ability to work flexible hours, including evenings and weekends. Ability to travel within the state of Texas.
  • Exceptional organizational skills and impeccable attention to detail.
  • Outstanding written and verbal communication skills.
  • Proficient with Microsoft Office and comfort leaning new systems (Canvas, Qualtrics, etc.)
  • Customer-focused with the ability to exercise discretion and confidentiality.
  • Capable of prioritizing, multi-tasking and meeting deadlines with minimal supervision.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Experience coordinating academic or student-facing programs in higher education.
  • Event planning or logistics experience supporting large-scale or professional events.
  • Prior experience at UT Austin or another higher-ed institution.
  • Familiarity with complex academic operations (registrations, advising processes, travel/financial workflows).
  • Service-oriented approach and an ability to anticipate stakeholder needs.
  • Strong critical thinking and problem-solving skills.
  • Ability to build interpersonal relationships across diverse student, staff, and faculty groups.
  • Initiative, follow-through, and the ability to manage details in fast-paced environments.
Salary Range
  • $50,000+ depending on qualifications
Working Conditions
  • Standard office environment (shared workspace) with repetitive use of a keyboard at a workstation
  • Required availability for weekend EMBA class sessions and occasional travel.
  • This is an Austin, Texas-based position.
