Idaho National Laboratory is hiring a Medical Administrative Assistant to work in our Occupational Medicine department. Our team works a 9x80 schedule based out of our Willow Creek Building in Idaho Falls, Idaho.

The Occupational Medicine Program at Idaho National Laboratory is dedicated to delivering exceptional health and wellbeing services to employees through federally mandated occupational medicine programs and voluntary wellness initiatives that prioritize education and prevention. As a Medical Administrative Assistant, you will serve as a key coordinator for clinic operations, partnering closely with leadership, medical providers, nursing staff, Xray technicians, Employee Assistance Program specialists, and physical therapy professionals. In this collaborative role, you'll help ensure seamless processes and contribute to providing the highest standard of care for INL employees.

Essential Job Functions and Responsibilities:

  • Coordinate the providers' (medical providers, nurses, EAP counselors, psychologists, and physical therapists) patient/client appointments, including scheduling for the more complex exams associated with required medical certifications/surveillances.
  • Greet and check in patients/clients at the clinic, answer clinic telephones, and direct calls as appropriate.
  • Maintain the patient/client flow for Occupational Health Services (OHS) Clinics.
  • Support preparation of patient/client charts for appointments.
  • Maintain filing systems of relevant hard copy records, protecting personal and private information.
  • Track, order, and stock office supplies for the clinics as assigned.
  • Interface with the organization's internal and external customers, providing quality customer service to meet organizational business needs and objectives.
  • Provide administrative support to the OHS Program as assigned, including covering for other staff on personal leave.
  • Perform other duties as assigned.

Knowledge/Skills/Abilities:

  • Talking to others to convey information effectively.
  • Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Knowledge of the structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar.
  • Knowledge of administrative and office procedures and systems such as word processing, managing files and records, designing forms, and workplace terminology.
  • Knowledge of the information and techniques needed to diagnose and treat human injuries, diseases, and deformities.
  • Knowledge of electronic equipment, and computer hardware and software, including applications and programming.
  • Speak clearly and communicate information and ideas verbally and in writing so others will understand.
  • Read and understand information and ideas presented in writing.
  • Identify and understand the speech of another person.

Required:

  • Level 2: High School diploma or equivalent and 2 years related experience.
  • Level 3: High School diploma or equivalent and 4 years related experience
  • Relevant experience commensurate with the level.
  • Experience working in a medical office, medical clinic or comparable setting.

The ideal candidate will possess:

  • Completion of a medical terminology course is preferred.

Job Information:

The pay range for this position is Level 2: $20.31 min - 32.50 Level 3: $22.93min - $37.82 max. At Idaho National Laboratory compensation decisions are determined using factors such as education, relevant experience, and other credentials.

Physical Requirements:

The employee is frequently required to stand, walk, sit, bend, operate a computer keyboard, handle materials, or reach with hands and arms performing the essential functions of the classification. The duties require sitting for long periods. The employee must occasionally lift 25 pounds. Specific vision abilities required by this classification include close vision, distance vision, depth perception and ability to adjust focus, conduct research and inspect materials. Sufficient clarity of speech and hearing abilities required by this classification includes those which permit the employee to discern verbal instructions, communicate effectively in person, by telephone, in writing, or electronic mail. While performing the duties of this classification, the employee works in an office setting where the noise level in the work environment is usually moderate.
