Position Overview:

The Learning Apprentice supports training operations, content maintenance, training delivery, coordination activities, and EHR support analyst functions. This role contributes to ensuring learning materials remain accurate, training programs run smoothly, and end users receive effective education and system support. The position also provides operational assistance across evolving business priorities as needed.

This role is ideal for individuals developing expertise in training, healthcare systems, learning design, and operational support within a collaborative environment.

Essential Functions:

Training Content & Learning Support

  • Assist with updating, reviewing, and maintaining training materials to ensure accuracy and alignment with system updates, workflows, and organizational standards
  • Support course content development, documentation management, and version control
  • Help prepare training assets including guides, job aids, presentations, and learning activities

Training Delivery & Facilitation Support

  • Co-facilitate or deliver training sessions under guidance of senior trainers
  • Provide learner support before, during, and after training sessions
  • Assist with onboarding activities and training readiness initiatives

Training Coordination & Operations

  • Coordinate logistics for training events including scheduling, communications, materials preparation, and learner tracking
  • Maintain training records, attendance documentation, and reporting metrics
  • Support continuous improvement efforts by collecting learner feedback and assisting with evaluation activities

EHR Support Analyst Assistance

  • Provide frontline support for training-related EHR questions and workflow clarification
  • Assist with troubleshooting, issue triage, and documentation of user needs
  • Support testing, validation activities, and system update preparation as needed

Business & Organizational Support

  • Contribute to cross-functional projects related to training, system adoption, or operational improvement
  • Provide administrative and operational support aligned with business priorities
  • Participate in team meetings, knowledge sharing, and continuous professional development

Go-Live Support

  • Provide on-site or virtual support during go-live events, upgrades, and major training deployments
  • Assist end users with real-time EHR workflow questions and basic troubleshooting
  • Support readiness activities, escalate issues as needed, and document insights to improve training and workflows
Requirements

Required

  • 2 years customer service and/or IT Help Desk support experience or have successfully completed an OCHIN workforce training program preferred.
  • Electronic Health Record experience in systems such as EPIC preferred.
  • Strong communication, organization, and customer service skills
  • Interest in training delivery, healthcare systems, or learning development
  • Ability to manage multiple priorities and work collaboratively
  • Prior to moving forward to the team interview, all candidates are required to complete a 50-60-minute competency assessment. The assessment gives us insights into how your strengths, preferences, and work style align with the OCHIN's nine core competencies. It's not about passing or failing-it's about understanding fit and setting you up for success.

Preferred

  • Experience with electronic health records (EHR) or healthcare operations
  • Training, instructional design, or facilitation experience
  • Familiarity with learning management systems, training documentation, or workflow analysis
  • Experience supporting technical or operational teams

Work Location and Travel Requirements

OCHIN is a 100% remote organization with no physical corporate office location. Employees work remotely from home and many of our positions also support our member organizations on-site for new software installations. Nationwide travel is determined based on OCHIN business needs. Please inquire during the interview process about travel requirements for this position.

Work from home requirements are:

  • Ability to work independently and efficiently from a home office environment
  • High Speed Internet Service
  • It is a requirement that employees work in a distraction free workplace
  • Travel required up to 20% nationally for on-site Go Live support based on business requirements for OCHIN
  • (OR) Travel may be required nationally based on business requirements for OCHIN
