The full salary range for this position is $25.77/hour to $43.58/hour.

Brief Summary of Job Duties:

The Coordinator for Campus Organizations and Orientation Operations supports two departments: Student Engagement and Leadership and Orientation Programs and Parent Services. This position supports the registration and advising process for over 550 Registered Campus Organizations (RCOs), guiding student leaders on registration, event planning, and risk management. It also supports major student involvement events such as the Winter Involvement Fair and administers the After Dark funding program to promote safe, inclusive social programming. The Coordinator oversees the Orientation Reservation System for more than 9,000 participants each summer, serving as the primary contact for vendors, IT, and campus partners. They coordinate online orientation content, supervise student staff, and assist with campus event scheduling for general assignment spaces.

Required Qualifications:

  • High School Diploma

  • Experience advising or direct involvement in student leadership organizations

  • Administrative experience learning and managing various computer systems

  • Basic knowledge of advising and counseling techniques

  • Knowledge of common University-specific computer application programs

  • Knowledge of University processes and procedures

  • Understanding of University rules and regulations

  • Skills in service orientation, active listening, critical thinking

  • Abilities in problem identification, reasoning

  • Ability to multi-task, verbal communication, written communication and organization skills.

Job Functions and Percentages of Time:

30% - RCO Advising and Coordination:

Supports the implementation of the annual RCO registration process which registers approximately 550 organizations. Tracks RCO registration requirements and supports the implementation of required workshops. Advises organization leaders on a wide range of RCO matters including registration, accounting, member recruitment,event planning, and risk management. Only very rare, complex, and/or high-risk matters are further escalated to the management team. Serves as lead administrator for the After Dark funding program, which provides funding to RCOs for non-alcohol centered ("alternative") social programming. Supports the planning and organization of the Winter Involvement Fair and Admission's Open House RCO Fair. Supports event 360 reviews, and follow-up and tracking of all committee requirements of RCOs, implements committee's finalapproval.

30% - Orientation Reservation System Management:

Oversees and maintains VisualZen reservation system managing reservations for over 9,000 individuals for summer orientation programs. Evaluates system function to determine modifications and changes in yearly process or procedure. Serves as primary contact for vendor and UCSB IT staff to coordinate data transfer. Creates, maintains, and operates additional databases in FileMaker Pro for new student advising, billing, and tracking information. Develops, updates, and revises website content, print materials, and correspondence related to Orientation program details, and reservation policies. Manages arrangement for participant accommodations such as dietary needs, etc. Communicates across campus providing specialized reports. Determines exceptions to Reservations policies, including requests for reduction of per person session fees, change fees and cancellation fees using individual judgment. Manages all Orientation billing through BARC and evaluates individual requests for fee reductions using individual judgement. Manages communication of individual student academic information to Orientation staff and associated departments.

15% - Campus Event Scheduling Coordination:

Serves as an approver for requests by all campus and non-campus users to reserve General Assignment Inventory spaces (i.e. classrooms, lecture halls, and outdoor spaces). Applies creativity and problem solving to address potential and actual space conflicts by efficiently and diplomatically communicating with clients. Ensures programs with priority are assigned sufficient resources to carry out their functions(e.g. Summer Sessions, Conference Services, Orientation Programs, UCSB Extension). Supports the Assistant Director as a scheduling liaison in matters of campus security, community health and safety, and campus resource managementto a wide variety of impacted units, including UPCD, CSO, Fire Marshal, Central Stores, Business Services, Facilities Management, Recreation, and the University Center.

15% - General Department Support & Supervision:

Supports SEAL and Orientation in marketing through social media and website development. Supports the Student Life Front Desk and Resource Center operations by checking in with student employees, upkeep of the space and materials and ensuring operations run smoothly. Supports the management, maintenance, and serves as a department liaison for Shoreline. Oversees Orientation Programs main email account and communications. Supports SEAL and Orientation with all aspects of the hiring, training, and supervision of student employees.

10% - Online Orientation Program Coordination:

Oversees all online orientation modules ensuring content is updated annually both internally and through communication with UCSB departments. Disseminates information to students about orientation modules through reservation confirmation emails or individual outreach. Coordinates the logistics of live virtual Orientation program by communicating with speakers, organizing Zoom links, and updating virtua lOrientation website. Evaluates all online orientation programs and provides suggestions for improvements on an annual basis.
