Pay rate: $26 - $28.00 hourly
JOB SUMMARY
LOCATION PIECE: This role is a Hybrid position, Tues-Thursday in Office, Monday and Friday remote.
Parking: No free parking on site, city parking available (street, garage, etc..)
SHIFT: 8am-5pm EST, M-F, flexible with a 6:30am or 7am start.
What this job involves:
This position supports the transition of new and expanded Work Dynamics Integrated Facility Management accounts and account expansions with a focus on supplier onboarding and procurement deliverables.
What your day-to-day will look like:
Administrative Functions:
- Support client and teams with supplier onboarding processes, providing data entry/management through Sourcing & Procurement technology platforms
- Assist in the creation of vendor information packets and attachments as needed
- Manage large data sets, create dashboards, and generate reports using advanced Excel functions (VLOOKUP, pivot tables)
- Ensure required due diligence for supplier on-boarding, including administration
- Administer and maintain supplier files for compliance with and client requirements
- Complete Bulk Upload templates using various data sets compiled during transition
Communication and Relationship Coordination:
- Research missing contact information for vendors utilizing internal and external (online) resources
- Manage phone and email correspondence between and Supply partners, escalating as needed to Transition Team Leads
- Make and field regular follow up phone calls with all assigned vendors throughout the transition period, to support them with the registration process and troubleshooting any technology issues
- Collaboration with internal and external stakeholders
- Establish effective solutions for stakeholders through independent problem-solving
Compliance:
- Ensure compliance to sourcing and contracting policies and procedures
- Track all correspondence and authorizations by maintaining detailed and accurate files
- Support communication and resolution of compliance components related to vendor Certificates of Insurance and Rate Cards
Desired or preferred experience and technical skills:
- Strong oral and written communication and inter-personal skills
- Strong multitasking capabilities with effective prioritization skills
- Excellent proficiency in MS Office applications, particularly advanced Excel functions (VLOOKUP, pivot tables, and duplicate check functions)
- Working knowledge of Sourcing & Procurement technologies: Aravo, Jaggaer, E1, Avetta, and ISN
- Organization skills with strong analytical ability
- Ability to manage multiple projects with variable timelines simultaneously
- Ability to work within time-sensitive deadlines, escalating daily to Transition Team Leads
