Executive Assistant

The Champaign-Urbana Public Health District (CUPHD) is seeking a full-time (40-hour week) Executive Assistant. The selected candidate will perform high-level administrative organizational duties in direct support of the Administrator. This position handles confidential and time-sensitive responsibilities including communication management, document creation and retention, scheduling and calendar coordination, contract support, and facilitation of District-wide meetings. The position also provides administrative support to the District and County Board of Health and assists Division Directors as needed. Must have strong verbal and written communication skill and the ability to work in a fast-paced environment and manage multiple tasks.

Duties and Responsibilities include:


  • Serves as the primary support to the Public Health Administrator by managing priorities, preparing materials, and ensuring timely follow-up on key objectives.
  • Manages calendars, schedules meetings and conferences, coordinates travel; and organizes executive appointments.
  • Receives, screens and routes calls and correspondence directed to the Public Health Administrator.
  • Prepares complex correspondence, memoranda, reports, resolutions, and other official documents.
  • Assists with administrative components of budgeting, purchasing, contracts, invoices, reimbursements, and grant documentation.
  • Coordinates management, leadership, and all-staff meetings; prepares agenda and materials; attends meetings; takes minutes; and ensures timely follow-up on action items.
  • Maintains a comprehensive and up-to-date system for tracking and filing documents, including all contracts and grants.
  • Acts as an administrative liaison among Directors, staff, Board of Health Members, county and township officials, state agencies, community partners, and the public.
  • Coordinates District and County Board of Health meetings, including agenda preparation, packet assembly, minute-taking, and compliance with the Open Meetings Act; distributes approved materials, and maintains online meeting content.
  • Maintains official records in accordance with the Illinois Freedom of Information Act (FOIA), the Local Records Act, and District record retention schedules.
  • Public Health Emergency Response Responsibilities: All District employees must be able to respond to public health emergencies when needed and appropriate. During an emergency response, employee may be assigned to a role in either operations, logistics, or administration by the Incident Commander and/or Section Chief in addition to regular duties.
  • Performs other duties as required.


Requirements and Qualifications:


  • High school diploma or GED equivalent is required.
  • Associate or bachelor's degree in administration, communications, office administration, or closely related field is preferred.
  • Five (5) or more years of executive-level assistant experience is preferred.


The expected annual starting salary is $52,556. Full annual salary range for a Class 6 Executive Assistant is $52,556 - $70,950 for a 40-hour week.
