Job Summary

The Administrative Specialist Senior works under the direction of the Program Manager and in collaboration with Program Coordinators to provide comprehensive administrative, front desk and office support to the Tutoring/Learning Center at Chandler-Gilbert Community College. Our ideal candidate will deliver excellent customer service to diverse populations, including both internal and external customers; take initiative, prioritize tasks, and manage projects to completion in a time-efficient manner to meet department needs; communicate effectively, problem solve, and utilize multiple technological systems to support the department.

Essential Functions

30% - Administrative & Operational Support

Performs comprehensive administrative and office support functions to ensure efficient daily operations of the Tutoring/Learning Center, working closely with the Program Manager and Program Coordinators.

Coordinates facility usage, space readiness, and event logistics.

Monitors, verifies, corrects, and enters part-time employee time records as directed by the Program Manager.

Arranges maintenance and repair of equipment and facilities as needed.

Ensures compliance with established policies and procedures, seeking guidance from the Program Manager when appropriate.

25% - Customer Service & Communication

Serves as a liaison to students, community members, and campus departments, providing front-line communication and high-quality customer service.

Responds to inquiries in person, by phone, and virtually; resolves concerns or refers individuals to appropriate resources.

Acts as the department point of contact for part-time tutors in the absence of the Program Manager and/or Program Coordinators.

Prepares and distributes program materials, including flyers and presentations.

Represents the department at campus outreach and orientation events.

Communicates program policies and procedures to students, staff, and community members.

Monitors website content and submits update requests as needed.

15% - Budget & Procurement Support

Assists the Program Manager with monitoring budgets, funding, and expenditures; may support budget preparation activities.

Monitors inventory and orders supplies.

Reviews and reconciles requisitions and invoices in collaboration with the Program Manager.

Communicates with vendors regarding purchases and delivery details.

15% - Data Management & Reporting

Collects, monitors, reviews, and updates data, records, and program documentation.

Researches, compiles, and analyzes information in support of Learning Center operations.

Prepares departmental reports and verifies data accuracy.

Develops and maintains organized filing and record-keeping systems.

15% - Program & Staff Support

Assists with the development and implementation of program guidelines, forms, policies, and procedures.

Supports the hiring and separation processes for part-time employees.

Develops training materials as assigned.

Participates in staff trainings and orientations alongside the Program Manager and Program Coordinators.

Monitors student activity within tutoring spaces.

Performs other duties as assigned, consistent with the grade level of the position.

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

1. Demonstrated experience delivering excellent customer service to diverse populations of internal and external customers or stakeholders.

2. Excellent communication skills and attention to detail as evidenced in the cover letter and resume, as demonstrated by the applicant's composition, grammar, spelling skills, and attention to detail.

3. Experience using critical thinking and troubleshooting to make on-the-spot decisions that could impact the department. (e.g. monitoring schedules, inventory, large databases, competing priorities, etc.)

4. Experience using various software applications to produce marketing communications, schedule meetings/events, create reports and complete projects (Microsoft Office or Google Suite, HCM, Canva, Adobe, TracCloud, Cranium Cafe, etc.).

5. Experience in monitoring budgets, preparing requisitions, tracking inventory/supplies, invoicing, and maintaining financial records using an online Financial Management System.

6. One year of full-time, relevant MCCCD experience within the previous two years.

**** Experience within other community college systems or higher education institutions is valued and may be considered in addition to MCCCD experience. External candidates are encouraged to apply.

Special Working Conditions

Work is routinely performed in an indoor, office environment. May be required to work at multiple sites or locations. May be required to sit for a prolonged period of time; viewing a computer monitor and typing. Will be required to work in an area of light to heavy noise levels daily (primarily from multiple conversations).
