Job Description

Kearney & Company is seeking a Front Desk Coordinator to join our Alexandria, VA team. The successful candidate will be responsible for supporting front desk operations, facilities coordination, and overall office functionality. This role requires a calm, steady presence, strong attention to detail, and the ability to manage routine responsibilities while adapting to a fast-paced environment. Additional skills and responsibilities are defined below:

  • In-Office presence: Monday - Friday, 8:30 am - 5:30 pm.
  • Conduct and support New Hire Orientation (NHO) for Facilities, including logistics and coordination
  • Assist with communications related to New Hire Orientation
  • Manage and coordinate office catering, including setup and breakdown.
  • Coordinate with caterers, accounting, and internal departments for catering needs
  • Perform validation reconciliation and ordering validations
  • Manage ordering, stocking, and inventory for: kitchen, cafe, copy rooms, and office wide supplies
  • Track and reconcile AMEX expenses
  • Serve as backup for New Hire badges
  • Support the Facilities Lead as a backup
  • Provide administrative support to Admins and various departments
  • Oversee front desk operations, including:
  • Answering phones Monday-Friday 8:30 - 5:30
  • Scheduling and addressing day-to-day office issues
  • Serving as the first point of contact for employees and visitors
  • Assist with office moves, training room setups, and furniture reconfiguration
  • Help maintain a clean, organized office environment, including keeping cubicles tidy
  • Support special events and on-site client hosting, including early mornings and occasional evenings

Qualifications

  • Minimum of 5 years of administrative and customer relations experience
  • Strong organizational and administrative abilities
  • Demonstrates professional maturity, discretion, and accountability
  • Comfortable working within routine processes, policies, and structured environments
  • Calm, steady, and reliable under pressure with a strong work ethic
  • Excellent communication and coordination skills
  • Ability to work independently while collaborating effectively with others

Physical & Schedule Requirements

  • Ability to be mobile and on your feet for a significant portion of the day
  • Ability to lift up to 50 lbs (furniture, supplies, event materials)
  • Flexibility to support evening events and early hours when needed
  • Ability to work on-site five days a week during special events or client-hosting periods
  • Comfortable maintaining productivity in a fast-paced environment

The expected salary range for this position is between $60,000 and $65,000. This range is representative of base pay only and does not include straight time pay for hours worked over 40 per week, company contributions towards paid benefits, and/or bonuses. Actual compensation (meeting or exceeding the range) will be determined based on specific experience, education, work location, clearance level, and other factors permitted by law. This position is eligible for bonuses (when applicable).
