Overview

In this role, you will greet all site visitors and assure they sign in on the visitors' log. You will answer phones and direct callers to the appropriate staff member and manage delivery tickets & other documentation needing to be sent to the main office. You will also oversee the timesheets for field employees under the supervision of the Superintendent, place orders for supplies as directed, maintain a clean office environment, take meeting minutes as required and distribute as directed, make copies for distribution, maintain office files and documentation, update logs, and accept deliveries.

Job Responsibilities:

  • Work directly for the Superintendent. Work is generally administrative, project-oriented and will require the ability to comprehend and follow directions
  • Coordinate and organize a system to complete daily tasks required
  • Be courteous and professional with employees, our clients, subcontractors, vendors, and the public
  • Organize the office files, contracts, and submittals similar to the system used in the corporate office
  • Have the ability and knowledge to operate a computer and work with Microsoft programs such as Word and Excel, and use Microsoft Outlook. Use office equipment such as copiers, printers, scanners, label machines, etc.
  • Keep timesheets, weekly hours, and per diem for the field employees, email to Payroll weekly
  • Keep copies of all delivery tickets and determine if it will be a Major Purchase Order or a Field Purchase Order. Make copies and send originals to the PM or Accounts Payable Clerk for processing and payment
  • Log and Issue Field Purchase Orders numbers, enter rental data and usage on Rental Equipment Reports, tract concrete usage with the concrete log, and email to the PM and AP on a monthly basis
  • Log daily subcontractor's activities, weather, rainfall, deliveries, and meetings on the Superintendent's Daily Report
  • Purchase office supplies, order material and rental equipment as directed by the jobsite Superintendent
  • Call vendors for quotes to do a cost comparison for materials or rental equipment
  • Set up vendor accounts for purchase or monthly rentals, such as copiers, toilets, water, ice, lumber, rental equipment, etc.

Education/Experience:

  • High school diploma preferred

  • Ability to use Computers & Microsoft Office programs, and Office Equipment
  • Ability to provide effective written and verbal instructions, as well as the ability to carry out detailed written or verbal instructions independently

Environmental Factors and/or Physical Requirements:

While performing the duties of this job, this position is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, and arm, hand and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard, operate equipment and read application/form information. The associate frequently is required to sit, reach with hands and arms, talk, and hear.

Responsabilidades principales Trabajar directamente para el Superintendente, siguiendo instrucciones y procedimientos para completar tareas administrativas y orientadas al proyecto. Coordinar y organizar un sistema para completar las tareas diarias requeridas, manteniendo una atencion cortes y profesional con empleados, clientes, subcontratistas, proveedores y publico en general. Organizar los archivos de oficina, contratos y submittals de acuerdo con el sistema utilizado en la oficina corporativa. Operar computadoras y programas de Microsoft Office (Word, Excel, Outlook) y equipos de oficina como copiadoras, impresoras, escaneres y rotuladoras. Comprar suministros de oficina, pedir materiales y equipo de alquiler segun indicaciones, solicitar cotizaciones a proveedores para comparar costos y abrir cuentas de proveedores para compras o rentas mensuales. Educacion y experiencia Se prefiere diploma de escuela secundaria. Conocimientos y habilidades especificas Buenas habilidades organizativas y de comunicacion verbal. Capacidad para utilizar computadoras, programas de Microsoft Office y equipo general de oficina y para emitir y seguir instrucciones escritas y verbales de forma independiente. Organiser les dossiers du bureau, contrats et submittals conformement au systeme utilise au siege. Utiliser l'ordinateur et les programmes Microsoft (Word, Excel, Outlook) ainsi que les equipements de bureau tels que photocopieurs, imprimantes, scanners et etiqueteuses. Tenir a jour les feuilles de temps, heures hebdomadaires et per diem des employes de chantier et les envoyer chaque semaine au service Paie; conserver des copies de tous les bons de livraison, determiner s'ils relevent d'un bon de commande principal ou de terrain et transmettre les originaux au chef de projet ou au service Comptes fournisseurs. Enregistrer et attribuer les numeros de bons de commande de terrain, saisir les donnees de location et d'utilisation dans les rapports d'equipements loues, suivre la consommation de beton et envoyer les rapports mensuels au chef de projet et a la comptabilite fournisseurs. Renseigner quotidiennement les activites des soustraitants, la meteo, les livraisons et les reunions dans le rapport journalier du surintendant. Acheter les fournitures de bureau, commander les materiaux et les equipements de location selon les directives, contacter les fournisseurs pour obtenir des devis comparatifs et ouvrir des comptes fournisseurs pour les achats ou locations mensuelles. Formation et experience Diplome de fin d'etudes secondaires souhaite. Competences specifiques Bonnes competences d'organisation et de communication orale. Capacite a utiliser l'informatique, les logiciels Microsoft Office et le materiel de bureau general et a donner et suivre des consignes ecrites et orales de maniere autonome. Aptitude a verifier visuellement les resultats de rapports et a effectuer des taches physiques legeres (soulever jusqu'a 10 livres, se pencher, s'agenouiller, marcher, saisir, etc.).
