POSITION SUMMARY
The Benefits Administrator is responsible for the day-to-day administration, communication, and coordination of employee benefit programs for a growing, multi-state credit union. This role ensures benefit plans-including health, welfare, retirement, HSA, and wellness programs-are delivered accurately, compliantly, and with a high level of service that reflects the credit union's member first values. The Benefits Administrator partners closely with internal stakeholders, vendors, and employees to deliver a seamlessbenefits experience and support the organization's total rewards strategy.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES
Benefits Administration & Operations
* Administers all employee benefit programs, including medical, dental, vision, life, disability, retirement programs (401(k)), Health Savings Accounts (HSA), voluntary benefits, leave programs, and wellness initiatives.
* Manages benefits enrollment processes (new hires, annual open enrollment, and qualifying life events) ensuring accuracy, timeliness, and data integrity.
* Serves as the primary point of contact for employee benefit inquiries, providing clear, accurate, and empathetic guidance related to health, retirement, HSA, and wellness offerings.
* Coordinates with payroll to ensure benefit deductions, employer contributions, retirement plan deferrals, and HSA funding are correctly processed.

Retirement, HSA & Wellness Program Oversight
* Administers and supports retirement programs, including the 401(k) plan, ensuring accurate eligibility tracking, enrollments, contributions, and compliance with plan requirements.
* Partners with retirement plan recordkeepers, advisors, and trustees to resolve participant issues and support audits and required reporting.
* Oversees Health Savings Account (HSA) administration, including eligibility coordination with high-deductible health plans, employee education, and vendor issue resolution.
* Supports the design, administration, and continuous improvement of employee wellness programs and initiatives focused on engagement, well-being, and preventive care.
* Tracks wellness program participation and assist with reporting, communications, and vendor coordination.

Vendor & Compliance Management
* Acts as liaison with benefit vendors, brokers, third-party administrators, retirement plan providers, and carriers to resolve issues and ensure optimal service delivery.
* Supports compliance with federal, state, and local regulations including ERISA, COBRA, HIPAA, ACA, FMLA, and applicable retirement plan and credit union regulations.
* Assists with preparation and distribution of required notices, filings, audits, Form 5500 support, and plan documents.
* Maintains accurate and secure benefits, retirement, and wellness records in HRIS and related systems.

Communication & Employee Experience
* Develops and delivers clear benefits communications, including enrollment materials, retirement and HSA education resources, FAQs, summaries, and employee presentations.
* Supports benefits and wellness education initiatives to improve employee understanding, utilization, and overall satisfaction.
* Maintains benefits, retirement, and wellness content on internal platforms and ensure materials reflect current offerings and regulatory requirements.

Analysis & Continuous Improvement
* Assists with benefits, retirement, and wellness benchmarking, cost analysis, and utilization reporting to support informed decision-making.
* Identifies opportunities to improve processes, employee experience, and operational efficiency through automation or vendor enhancements.
* Participates in benefits planning activities and support annual renewals, wellness strategy, and open enrollment planning.

JOB SPECIFICATIONS
* Strong understanding of ERISA, COBRA, HIPAA, ACA, FMLA and other regulatory compliance.
* High level of accuracy, attention to detail, and discretion in handling confidential data.
* Strong analytical, problem-solving, organizational, and risk mitigation skills.
* Proven ability to collaborate cross-functionally with HR and Finance teams.
* Employee centered service mindset and continuous improvement orientation necessary.
* Must possess strong written and verbal communication; strong presentation skill-set required.

EDUCATION, TRAINING & EXPERIENCE
* Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent experience).
* Minimum 3-5 years of experience in benefits administration, including retirement and health-related programs, preferably within financial services, credit unions, or similarly regulated environments.
* Working knowledge of employee benefits, retirement plan, HSA, and wellness program regulations and compliance requirements.
* Experience working with HRIS, benefits administration, and retirement plan systems.
* Professional certification such as CEBS, SHRM-CP/SCP, or PHR/SPHR preferred.
* Experience supporting organizations with a multi-state workforce preferred.

WORK ARRANGEMENT:
The working arrangement for this position is hybrid. Hybrid work is an opportunity to find the right balance between working in the office and remotely, especially if it supports individual success and the needs of our organization. Hybrid schedules are determined by the hiring manager based on business unit needs and may vary by department.

PHYSICAL REQUIREMENTS
* Must be able to walk, stand, sit, speak, read, write, see, hear, push, or pull (with or without accommodation).
* Frequently remains sitting in a stationary position for extended periods of time operating office/computer equipment.
* Occasionally lifts and/or moves up to 20 pounds.

TRAVEL REQUIREMENTS
Travel will be required for ongoing training, meetings, and/or other business needs.
