The College of Design, Architecture, Art, and Planning (DAAP) at the University of Cincinnati invites applications for a full-time (100% FTE) Program Coordinator in the School of Planning.

The School of Planning (SOP)
The SOP within DAAP prepares professionals for distinguished practice and spatially-based approaches with a focus on livable places and the creation of communities that enrich people's lives. The eight academic programs within the SOP (Bachelor in Urban Planning (BUP), Bachelor of Science in Urban Studies (BSUS), Bachelor of Science in Horticulture (BSHS), Master of Community Planning (MCP), Master of Urban Design, and PhD in Regional Development Planning) offer specific coursework about the study, planning, and design of innovative futures for urban communities and regions.

Job Overview

The Program Coordinator provides critical program management and administrative services to students, faculty, and staff at the College of DAAP's School of Planning. They oversee day-to-day operational responsibilities, such as course scheduling, managing budget expenditures, offer support to faculty and students, and serve as a liaison for School of Planning with College and University offices, students, and external partners.



While the Program Coordinator's primary responsibilities are within the School of Planning, the position will also contribute to College-wide initiatives and operational needs. This includes performing administrative, programmatic, or project-based work on behalf of the College of DAAP, based on evolving priorities and strategic goals. Assignments may extend beyond the School of Planning and will be aligned with College-level efforts to enhance academic operations, student services, and institutional effectiveness.



The ideal candidate should be comfortable managing multiple projects, have strong organizational and time management skills, can handle detailed financial information, and understand and manage different personalities while maintaining professional standards under UC policy. The candidate should be able to work collaboratively with DAAP faculty, staff, and students of multiple ages, and adapt their communication and approaches to the needs of these varied audiences. Candidates should be comfortable with learning and utilizing university systems such as, Catalyst, CaRT, Slate, Concur, PACE, 25Live, etc. Candidate will also need to be proficient in Outlook, Word, Excel, virtual meeting platforms and be comfortable using collaborative, cloud-based file storage platforms such as OneDrive.

Essential Functions

  • Coordinate key academic and administrative functions for the School of Planning, including schedule input, meeting minutes, preparation for SOP events, website maintenance, curriculum changes, course permissions, departmental programming, accreditation recordkeeping, and all related preparation and followup activities.
  • Serve as the primary point of contact for the School of Planning; welcome visitors, manage the office, and ensure efficient daily operations.
  • Respond to programrelated inquiries-in writing, in person, by phone, and by email-from faculty, current and prospective students, alumni, staff, and the general public.
  • Maintain and update the internal budget tool for adjunct and student compensation, ensuring accurate tracking and monitoring of budget expenditure.
  • Assist in graduate program recruitment and admissions, including use of SLATE metrics to monitor applicant progress; maintain and update internal budget tools and documents related to offer letters, admission decisions, graduate stipends, and scholarship allocations.
  • Assist with travel arrangements and meeting requirements, may also reconcile expense statements via the university travel and expense management system (Concur).
  • Develop, administer and analyze assessment/evaluation questionnaires. Compile statistics, prepare reports and assist in the preparation of professional accreditation and reports.
  • Act as liaison to internal departments, external entities, and community organizations.
  • Support internal communication efforts, providing routine updates to faculty, administrators, and students.
  • Provide administrative support to the school director and academic directors and coordinators.
  • Contribute to ongoing performance gains in the department, including ideas regarding efficiencies, synergies, etc. within SOP and across DAAP
  • Maintain relationships with other SOP program coordinators and administrators for purpose of advocating for SOP students as well as identifying opportunities, efficiencies, potential issues, etc. for strategic improvements.
  • Assist with hiring processes for student employees and adjunct faculty.
  • May provide direct and/or indirect supervision to exempt and non-exempt staff (i.e., hiring/firing, performance evaluations, disciplinary action, approve time off, etc.).
  • Support Collegelevel priorities and initiatives as assigned, including work that may fall outside the School of Planning.
  • Perform related duties based on departmental need. This job description can be changed at any time.

Required Education

  • Bachelor's Degree.
  • Five (5) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.


Required Experience

One (1) year of program coordination experience.

Salary/Hourly Pay Rate Information: 47,000-49,000
