Position Summary:

The Senior Program Coordinator of Clinical Education provides advanced administrative support to both the Omaha Physical Therapy Clinical Education program and the post-professional residency programs. In collaboration with the Director of Clinical Education and the Director of Residency and Post-Professional Education, this position works independently to coordinate and manage specific activities related to entry-level physical therapy clinical education and residency education. In conjunction with the analogous staff position at the Phoenix campus, this position manages and coordinates the activities of student clinical rotation experiences, manages student compliance and onboarding, communicates with clinical site locations across the country for student placements, facilitates clinical affiliation agreements with clinical sites, in conjunction with the Clinical Education and Onboarding Assistance (CEOA) hub, and facilitates the Credentialed Clinical Instructor Program, orientation for the entry-level and residency programs, and other continuing education activities. In addition, this position works independently to coordinate and manage specific projects and initiatives related to residency education.

Essential Functions:

  • Maintain database of clinical site information.
  • Solicit and verify clinical placement offers from clinical sites.
  • Verify and confirm clinical education placements for students.
  • Facilitate new clinical affiliation agreements and maintain database of existing contracts between University and clinical education partners.

  • Monitor student and resident compliance with contractual agreements, including clinical site on-boarding requirements.
  • Maintain all records related to clinical contract and residency compliance, including confidentiality agreements, HIPAA agreements, BLS/CPR certification, drug tests, background checks and fingerprinting, immunization compliance, liability insurance, annual compliance trainings, student handbook signature form, and release of information forms.
  • Communicate with community partners to coordinate professional service activities for students.
  • Present and participate in educational sessions for students, including those regarding student compliance and onboarding.
  • Serve as a liaison between Student Health and the University's myLearning platform.

  • Assist residency programs by providing administrative support to Residency Director and team.
  • Coordinate and support resident registration for continuing education initiatives and process professional fund requests for residents.
  • Monitor budgets and process expenditures and income for residency budgets.
  • Record minutes for meetings and retreats held by residency programs.
  • Distribute and maintain surveys to support program assessment and quality improvement processes for clinical and residency education.
  • Coordinate and communicate with program faculty, residents, and prospective applicants to support annual residency events.
  • Collaborate with (6) residency program directors to annually review and update program resources and support marketing efforts and accreditation processes.
  • Manage onboarding and clinical compliance for residents and program directors.

  • Provide administrative support for the clinical education team, including recording minutes for meetings and retreats.
  • Monitor the annual clinic education budget by providing monthly budget reports, monitoring P-card transactions, submitting timely expense reports, and maintaining and ordering supplies and marketing materials.
  • Plan and coordinate events, including securing venues and catering orders.
  • Provide departmental administrative support as-needed, including assistance with generating reports for annual accreditation reporting.


Education and Experience:

Associate's degree or equivalent experience required; Bachelor's degree preferred.

At least 4 years' experience in related administrative or office management experience preferred.

Ability to tailor strong oral and written communications to a wide variety of stakeholders

Experience handling confidential duties professionally

Intermediate to advanced proficiency skills in Microsoft Office 365, including Word, Excel, PowerPoint, and Outlook. Experience with Canva preferred, as well as experience with Learning Management Systems like Canvas.

Ability to learn and become proficient in use of numerous industry- and profession-specific software programs

Experience monitoring budgets preferred
