The Events and Building Coordinator for the Office of Space Planning and Management at The Ohio State University College of Medicine is responsible for providing building and event support for Hamilton Hall and the Dean of the College of Medicine. Reporting to the Business Operations Senior Analyst, they will work closely with Audiovisual Production Technicians, Facilities team members, and student staff to create, maintain, and model exemplary experiences for Hamilton Halls internal and external classes, meetings, and event clients, as well as Hamilton Hall facility upkeep.

Candidates for this role will require flexibility in their schedule to include day, evening, and weekend work in conjunction with scheduled events. Candidates must be able to lift up to 50 lbs.

Minimum Required Qualifications:

High School diploma or GED. Certification or vocational training may be preferred. 1 year of relevant experience required. 2-4 years of relevant experience preferred.

Preferred Qualifications:

Strong candidates will have 2 years of experience working in customer service, hospitality/event industry, or relevant work experience. Strong communication, organizational skills, and attention to detail.

Venue Management

Oversee activities within the Jeri B. Block and Robert H. Schottenstein Forum within Hamilton Hall. They will work directly with clients to map out their event objectives and requirements including but not limited to AV production, plans for food and beverage services, furniture setups, and vendor arrangements. They will coordinate setup and teardown of event furniture according to event needs. The Events Coordinator will serve as contact for client needs before, during, and after events including scheduling, communications, and billing.

Deans Office Events

Consult with the Business Operations Senior Analyst to plan and implement small to large scale College-level events for the Dean of the College of Medicine including the annual Deans Excellence Awards Gala, Donuts with the Dean, COM-munity Social, and other Dean-sanctioned events.

Building Coordination

Assist with activities related to occupant support services and day-to-day building operations including onboarding tasks for new occupants (e.g., requesting keys/swipe access, desk assignment), fielding building issues, and providing general support as directed in the event of facility-related emergencies (e.g., broken water pipes, power outages). They will ensure general usability and cleanliness of the building including arranging office, conference, and other support room furniture in accordance with occupancy plans and monitoring spaces for any issues/necessary updates. All building coordination responsibilities will be communicated to the respective facility team, either COM Facilities or Facilities Operations and Development (FOD).
