SCOPE/RESPONSIBILITIES:

The Training Operations Specialist provides daytoday operational and administrative support to the Organizational Development Manager and the training team. This role supports the smooth delivery of all training activities and requires regular interaction with employees, trainers, leaders, and external partners through email, messaging platforms, phone, video meetings, and inperson contact. The specialist works under close supervision with limited latitude. Moderate physical effort is required, including handling supplies, food items, and classroom materials. The role actively supports the organization's Customer Service First culture, adheres to established policies and procedures, and upholds the company's core values.

ESSENTIAL FUNCTIONS:

  • Provides administrative support to the training department and direct supervisor, assisting with a variety of tasks and projects.
  • Coordinate meal planning for training sessions, including arranging delivery, setup, cleanup, and resetting the lunchroom after each session.
  • Maintain adequate snack and beverage supplies by placing Sam's Club (or similar) orders, picking up items, and organizing them for training use.
  • Greet and welcome training participants at the entry door each morning and afternoon during active classes.
  • Work directly with trainers to print, assemble, and prepare training materials for upcoming sessions.
  • Set up classrooms in advance of training and ensure all training and shared work areas remain clean and organized between sessions. Areas to include, conference rooms, printer/copier areas, common workstations, breakroom, and storage rooms.
  • Manages incoming departmental phone calls, ensuring timely and accurate message delivery.
  • Sorts and distributes internal and external mail and deliveries.
  • Maintains the Training department calendar, including holidays, events, deadlines, and department-wide activities.
  • Processes departmental invoices using the company's expense and accounts payable systems.
  • Assists with special projects and provides support to Training team members as directed.
  • Performs special projects, and performs other duties assigned at the direction of direct supervisor.

MINIMUM QUALIFICATIONS:

  • High school diploma or equivalent required; associate degree or higher preferred.
  • 2+ years of administrative experience, preferably in a corporate environment.
  • Strong interpersonal and communication skills with a customer-focused approach.
  • Proficiency in Microsoft Office Suite.
  • Ability to manage multiple tasks with attention to detail and accuracy.
  • Exceptional time management skills with a proven ability to meet deadlines.
  • Demonstrated discretion and confidentiality in handling sensitive information.
  • Proactive and independent with the ability to take initiative.
  • Able to work independently within structured guidelines without direct oversight on every task.
  • Must be able to lift to 30 pounds at a time.
