Job Title: Administrative Assistant

Location: Birmingham AL 35243 (Hybrid, 4 days onsite in a week (Friday will be remote)

Duration: 24+ months (Possible extension)

Position Overview

The Administrative Assistant 3 provides expert-level administrative support and leadership to the Sales - Energy Services team. This role is responsible for ensuring seamless daily operations, enhancing organizational efficiency, and supporting ongoing Operations & Maintenance (O&M) activities. The ideal candidate will bring extensive administrative experience, operate independently, and demonstrate exceptional professionalism, discretion, and organizational skills.

Key Responsibilities



  • Provide high-level administrative support and leadership to department leadership and team members.
  • Independently manage complex calendars, schedules, and appointments, ensuring optimal time management and prioritization of critical tasks.
  • Lead the coordination and execution of high-profile meetings, conferences, and events, including logistics, agenda preparation, materials, and follow-up actions.
  • Prepare, edit, review, and format complex documents, reports, presentations, and correspondence with a high degree of accuracy and professionalism.
  • Conduct in-depth research, gather and analyze data, and compile detailed reports to support strategic planning and decision-making.
  • Handle highly sensitive and confidential information with discretion, integrity, and strict adherence to confidentiality standards.
  • Oversee budget management activities, including expense tracking and financial reporting, ensuring accuracy and compliance with organizational policies.
  • Serve as a primary point of contact for internal and external stakeholders, delivering exceptional communication, coordination, and customer service support.


Desired Qualifications



  • Minimum of 11 years of progressive administrative experience, preferably supporting senior leaders or complex organizations.
  • Outstanding written and verbal communication skills with strong interpersonal abilities.
  • Proven ability to work independently, manage competing priorities, and meet deadlines in a fast-paced environment.
  • Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant business software.
  • Strong organizational skills with meticulous attention to detail.
