JOB DESCRIPTION
The position of Senior Technical Writer/Editor (SharePoint Content Governance) will serve as the content governance and editorial operations lead for a SharePoint knowledge site, ensuring content is accurate, consistent, discoverable, and maintained over time. This role owns the end-to-end content pipeline (intake, review, QA, publish), enforces templates and standards, and partners with stakeholders to keep pages current as projects evolve, contacts change, and the organization shifts.
In addition to editorial oversight, the role maintains key site mechanisms (templates, filters, search tools, submission forms), manages access control, and coordinates multilingual publishing needs. The writer/editor also defines and enforces publishing workflows and compliance guardrails, provides contributor onboarding/support, produces periodic usage and contribution reporting, and drives continuous improvements informed by analytics and user feedback, including future enhancements such as advanced search/filtering and AI-assisted content discovery.
KEY RESPONSIBILITIES
- Review and validate all incoming submissions to ensure content is accurate, complete, and aligned with internal communication standards.
- Define and enforce content standards (tone, structure, naming conventions, formatting) and own page templates and associated rules/constraints to ensure consistent presentation.
- Define publishing guidelines, workflows, review expectations, and quality gates; ensure content and site operations align with applicable company policies (e.g., data protection, internal comms standards, export control).
- Serve as a point of contact for questions about using the site and contributing content; maintain contributor guidance/onboarding materials as needed.
- Support multilingual publishing needs, including translation management and ensuring translated pages remain aligned with source content.
- Maintain the operational integrity of key site mechanisms (filters, search tools, submission forms) and coordinate issue tracking/resolution with IT/platform owners.
- Implement and maintain advanced search/filtering improvements using metadata to improve content discovery at scale.
- Manage and audit access control to ensure the right audiences can discover and view content while protecting restricted information.
- Conduct periodic audits to identify outdated, redundant, or stale content; flag items for refresh and remove/archive when appropriate.
- Proactively maintain a directory of content owners/contact points across functions to support timely updates and approvals.
- Collect user feedback and use analytics/engagement insights to recommend UX, IA, and content strategy improvements; create periodic reports on usage and contribution trends to support roadmap prioritization and escalate platform needs/constraints.
- Support the integration of AI tools for discovery/search and provide editorial oversight to improve content readiness for AI-assisted retrieval.
REQUIRED SKILLS & EXPERIENCE
- At least ten years' experience writing and editing highly technical documentation for software, consumer electronics, or networking services.
- Expert use of Microsoft 365: SharePoint Online, Teams, Word/PowerPoint, Forms (and ideally Power Automate or equivalent workflow tooling).
- Hands-on experience with SharePoint authoring/publishing workflows, multilingual site considerations, and permissions/access control best practices.
- Significant experience operating content governance for a multi-author, high-visibility knowledge site (standards, templates, editorial QA, and lifecycle ownership).
- Strong information architecture and metadata/taxonomy design and maintenance experience (keeping filters/search meaningful as content scales).
- Demonstrated ability to run a submission-to-publication pipeline (intake forms, review loops, publishing operations)..
- Comfortable partnering with IT and senior stakeholders; able to write for a broad internal audience with consistent tone and appropriate technical depth.
- Ability to work independently and proactively.
