The Receptionist/Administrative Assistant position is located at the front desk at Cranbrook House and is the first point of contact for visitors to Cranbrook House, which is the location of several administrative offices, as well as a historic home for tours and meetings. The position greets visitors, and operates a multi-line telephone system, answering calls to Cranbrook's main switchboard, directing callers to appropriate departments and individuals across Cranbrook's campus. The position also provides administrative and clerical support to the Human Resources department. The schedule for this position is 8am to 5pm Monday-Friday.

Responsibilities include, but are not limited to:



  • Answer incoming telephone calls with a positive and pleasant demeanor, determine purpose of the calls, and forward calls to appropriate personnel or department.
  • Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
  • Interact efficiently and positively with the general public, visitors and employees across Cranbrook's community with a strong "customer service" philosophy.
  • Retrieve messages from voicemail and forward to the appropriate personnel.
  • Answer questions about Cranbrook and provide callers with address, directions, and other information, maintaining familiarity with Cranbrook events and activities in order to provide informed assistance in a friendly and professional manner.
  • Maintain check-in logbook at the front desk, making sure visitors and staff sign in and out.
  • Monitor visitor access in accordance with Cranbrook House security protocols.
  • Remain up to date on emergency procedures including lock-down procedures.
  • Update calendars for scheduling of the Cranbrook House conference rooms utilizing the MRM meeting scheduling system.
  • Order office supplies for the Human Resources department and sort and distribute their mail.
  • Monitor Human Resources general email account, forwarding messages as appropriate for follow up, and responding as needed.
  • Maintain Cranbrook's online Telephone Directory so that data is up-to-date and accurate.
  • Enter information into the Human Resources Information System (HRIS) as requested and assist with other clerical/administrative tasks during high volume hiring periods.
  • Prepare new hire and benefit orientation packets to ensure supplies are readily available as orientations are scheduled.
  • Perform other clerical duties as needed such as filing, alphabetizing, shredding, large mailings, proofreading, data entry, and assisting with other HR projects.
  • Maintain strict confidentiality on all employee-related issues, files, information, and paperwork inherent to the Human Resources function.


Requirements:



  • A High School Diploma or GED is required.
  • Requires two years of clerical/administrative experience with proficiency in Microsoft Office and database entry, requiring accuracy and attention to detail.
  • Must have excellent customer service skills with the ability to interact positively and effectively with internal and external constituents both on the phone and in person.
  • Will have interaction with a broad group of customers including executives and the public, requiring a calm and professional demeanor.
  • Deals with confidential information where strict maintenance of confidentiality is required.
