Job Summary
The Alliance for Physician Leadership (APL) Program is one of the longest-standing programs within the Jindal School of Management, serving more than 650 alumni and approximately 95 active physician students. Recognized as a top-five national program for physicians, APL engages executive-level learners and faculty across the university.
The Program Manager II provides operational, administrative, and logistical support for the Alliance for Physician Leadership, ensuring the smooth delivery of academic programs and day-to-day activities. Working in close partnership with the Program Director, this role implements established program strategies, manages program operations, and assists with student, faculty, and stakeholder engagement. The role focuses on operational execution, coordination, and process management, working collaboratively with program leadership to support academic and programmatic activities.
The ideal candidate is highly organized, detail-oriented, and effective in a collaborative environment. This individual enjoys working with prospective and current students, faculty, administrators, and alumni, and brings strong communication and interpersonal skills to support program operations and ongoing initiatives.
Minimum Education and Experience
Bachelor's degree; Five to seven years experience in a field relevant to the program; or any equivalent combination of education and experience.

  • Master's degree with 5-7 years of progressively responsible experience in higher education administration, program coordination, or a related field.
  • Experience supporting and managing academic or professional programs in a higher education environment.
  • Proven ability to build and maintain effective working relationships with faculty, students, administrators, and external stakeholders.
  • Strong organizational, communication, and time-management skills, with the ability to work independently within established guidelines and manage multiple priorities.

To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position.
Essential Duties and Responsibilities

Program Operations & Coordination

  • Manage day-to-day administrative operations for APL graduate and executive education programs, including scheduling, calendars, and deadlines.
  • Coordinate classroom and virtual course logistics, materials preparation, and eLearning setup.
  • Track program timelines and ensure deliverables are completed according to semester and annual calendars.
  • Supervise support staff and student employees to support program operations.
  • Assist with program events, student engagement activities, and alumni communications as directed by the Program Director.


Budget Administration & Reporting

  • Assist with annual budget preparation by compiling data and supporting documentation for review and approval by the Program Director.
  • Track monthly revenues and expenditures; reconcile accounts and prepare routine financial reports.
  • Monitor expenditures against approved budgets and flag variances for Director review.
  • Process faculty stipends, invoices, and MOUs in accordance with established rates and procedures.

Student Administration & Support

  • Provide administrative support to prospective and current students, including application coordination, enrollment processing, degree plan evaluation, and course mapping.
  • Coordinate student admissions workflows, orientation logistics, and graduation processing in collaboration with the Program Director and university offices.
  • Serve as a point of contact for student inquiries related to program requirements, timelines, and procedures, referring academic or policy decisions to the Director as appropriate.

Faculty & Course Coordination

  • Coordinate faculty scheduling, course setup, and instructional logistics in collaboration with APL support staff.
  • Maintain course records, syllabi, and program documentation.
  • Support curriculum updates and course changes as directed by the Program Director.

Communication & Outreach Support

  • Assist with program communications, including website updates, approved marketing materials, and maintain communication channels with applicants, students and alumni.
  • Support outreach and recruitment activities by coordinating events, responding to program inquiries, and maintaining contact lists.

Compliance & Process Support

  • Follow established university policies and procedures related to academic programs, finance, and student records.
  • Coordinate data collection and documentation for assessments, audits, and reporting as directed.
  • Identify operational inefficiencies and suggest process improvements to the Program Director.

Physical Demands and Working Conditions

  • On campus work some weekends and evenings is required to support program activities and classes.
  • Travel for some course trips may be required.
