Job Summary

We invite qualified applicants to apply for a full-time administrative assistant position available in the Children's Programs division. Children's Programs deliver extensive services and activities to a diverse array of Loudoun County residents and visitors, operating across 65 sites for after-school programs and camps designed for school-aged children. This role involves administrative duties such as gathering and organizing data, reviewing registrations for complete information, assisting families with participant registration forms, responding to phone and email inquiries, addressing standard program inquiries, performing data entry tasks, managing the ordering and distribution of supplies, handling mail processing, and drafting email correspondence and documents. The ideal candidate should demonstrate strong organizational and problem-solving skills, have proficient knowledge of basic Microsoft Suite software, exhibit excellent verbal and written communication skills, maintain keen attention to detail, possess effective time management skills, and be capable of working independently.

  • PRCS, 742 Miller Drive SE, Leesburg, VA

Responsibilities include, but are not limited to:
  • Offer administrative assistance to program personnel by collecting, structuring, and preserving precise data and documentation, facilitating daily office functions, and aiding with designated special projects.
  • Review participant registrations to ensure all required information is complete and accurate; follow up with families as needed.
  • Assist families with completing and submitting participant registration forms and related documentation.
  • Respond to phone calls and email inquiries regarding programs and services in a professional and timely manner, addressing routine program questions while escalating non-standard or complex issues to the appropriate staff.
  • Perform accurate data entry and maintain electronic and paper filing systems.
  • Coordinate the ordering, tracking, and distribution of program supplies and materials.
  • Draft, proofread, and format email correspondence, forms, and basic documents.
  • Maintain confidentiality of participant, family, and program information.
  • May carry out additional critical job responsibilities pertinent to the role and departmental allocation.

Minimum Qualifications

High School diploma or equivalent and two (2) years of related clerical/administrative work experience or equivalent combination of education and experience.

Preferred Qualifications:
  • Bachelor's degree in Office Management, Business Administration, or related field.

Job Contingencies and Special Requirements

Employment is contingent upon successful completion of background check(s), to include criminal, credit, fingerprinting, and DMV checks. Valid driver's license and good driving record when required for job-related duties.
