Description

Vedder Price's Chicago office is looking for a Marketing Administrative Assistant. The Marketing Administrative Assistant will assist with the Firm's marketing activities by providing project management and administrative support to the 19-person marketing department serving nine offices.

As a Marketing Administrative Assistant, your duties will include but not be limited to:



  • Report processing and tracking for team leadership
  • Departmental filing and organization, including print and electronic files
  • Departmental accounting support (internal approvals, check requests, invoice processing, payment and tracking of expenses, reporting, etc.)
  • Expense reimbursement for department members
  • Management of Firm-wide promotional item program
  • Management of Firm-wide photography program
  • Coordination of departmental and other meetings, including technology and hospitality/meeting needs
  • Collaboration with other firm departments to coordinate mailings, labeling and other projects
  • Occasional support of marketing events (sometimes outside regular business hours), including printing marketing materials, updating files and providing on-site support
  • General administrative support to department members
  • Additional assignments from team leadership and other department members as needed
  • Maintenance of departmental calendars, trackers, and shared resources
  • Vendor coordination and inventory tracking related to marketing programs
  • Support for internal communications, onboarding logistics, and process documentation

Qualifications & Required Experience:



  • One to three years of experience working with accounting departments and other administrative functions within a law firm or other professional services environment
  • Bachelor's degree preferred
  • Position also requires the ability to work under pressure to meet strict deadlines


Computer Skills:

To perform this job successfully, an individual must be proficient in the following software:



  • Strong knowledge of Microsoft Office Suite, as well as an ability to grasp new technologies


Compensation Range: $50,000/yr. to $60,000/yr.
