The Opportunity

This position supports the Director of University Budget and the Executive Director of Finance and Budget in the daily operations of the University Budget Office and Finance and Budget functions. Responsible for performing essential functions within the University Budget Office, which may include position management and salary savings tracking; coordination of various budget projects throughout the year; ongoing communication and consultation on financial matters with faculty and staff at all levels of the University; delivery of training to assist cost center managers and specialists in understanding fiscal responsibility and the use of information systems; preparation of regular and ad hoc reports and analyses; budget preparation and analysis; review and processing of budget requests; and other budget-related activities as assigned.

Primary Job Functions, Duties, or Accountabilities

  • Position management tracking for University Administration and Daytona Beach campus departments, including maintaining rosters by cost center to support audits; updating salary budgets for personnel moves and promotions; coordinating funding sources; reviewing compensation increases; reallocating budget funds; and calculating monthly salary savings for vacant, funded positions.
  • Generate reports, analyze data, and provide information and/or recommendations to the University Budget Director and University leadership for process improvements and Workday enhancements.
  • Provide live Teams training to end users and update training materials as needed, including posting to ERNIE, and work with team leadership to improve training methods and content.
  • Support annual budget projects, including primary responsibility for Sponsored Projects, Research Incentive Accounts, and Donor Sponsored Program year-end rollovers; coordinate annual revenue and expense budgets; analyze accounts for future-year budget estimates; and assist with annual budget cycle tasks.
  • Review and process budget amendments and requests to ensure accuracy of approval, intent, execution, and funding, including judgment related to University financial reporting, compliance, and budgets, and submit journal entry requests to Accounting.
  • Support daily Inbox requests by providing guidance to end users; maintain comprehensive knowledge of university accounts, restrictions, and allowable accounting; maintain the department ERNIE website; collaborate with IT on Workday dashboard updates; and continually document and improve departmental processes.

  • Minimum of 3-5 years of related work experience

  • Experience in Accounting/Finance (higher education experience preferred)

  • Experience in budget management; higher education experience preferred

  • Superior attention to detail

  • Sound judgment

  • Ability to communicate effectively at all levels of the organization
