Job Summary
The Administrative Clerk 3 is a senior-level role responsible for overseeing complex administrative processes and ensuring compliance with internal and government standards. This position provides advanced support to executive and technical teams, coordinates high-level administrative workflows, and serves as a subject matter resource for administrative policies. The role supports programs in cybersecurity, DevSecOps, AI, and related technical domains and may provide mentorship to junior clerks.
As with any position, additional expectations exist. Some of these are, but are not limited to, adhering to normal working hours, meeting deadlines, following company policies as outlined by the Employee Handbook, communicating regularly with assigned supervisor(s), and staying focused on the assigned tasks including company meetings, and completing other tasks as assigned.
Responsibilities
- Serve as lead administrative coordinator for assigned projects or departments
- Track and maintain government contract records and deliverables
- Develop, format, and review reports, presentations, and proposals
- Coordinate meetings, calendars, and high-level briefings for executive staff
- Manage workflows for procurement, timekeeping, and operational documentation
- Oversee updates to standard operating procedures and ensure policy adherence
- Support internal audits and compliance tracking
- Provide guidance and training to junior administrative personnel
- Ensure quality, accuracy, and confidentiality in all administrative tasks
Basic Qualifications
- High School Diploma or equivalent
- 4+ years of administrative, project coordination, or executive assistant experience
- Strong written and verbal communication skills
- Advanced proficiency in Microsoft Office Suite and Google Workspace
- Ability to manage complex administrative workflows independently
- U.S. Citizenship
- Ability to obtain and maintain a government security clearance
- If applicable: If you are or have been recently employed by the U.S. government, a post-employment ethics letter will be required if employment with VSolvit is offered
Preferred Qualifications
- Associate or Bachelor's degree in Business Administration or related field
- 5+ years of experience supporting DoD programs or federal contract operations
- Familiarity with document control systems, configuration management, and contract documentation
