CES Registration Services Specialist

Overview
The CES Registration Services Specialist contributes to the ongoing integration of the new Housing Occupancy Management System (HOMES). The position most closely works with the Conference & Event Services (CES) and Contracts, Assignments & Billing (CAB) units within Housing & Residential Life (HRL) and collaboratively with all other HRL units and key university departments. The ideal candidate will have current HRL experience and be familiar with the StarRez software platform.

Position Description
This position serves in the Housing Operations area. The Specialist is positioned within both the CES and CAB units within HRL. They provide overall management of the registration process for all event needs including individual pay forms. This position will also provide backup support during peak periods or absences in both the CES and CAB units. The position will work approximately 75% in CES and 25% in CAB. The position will report to the Assistant Director, Conference Services and Communications Marketing with dotted line reporting to the Coordinator of Contracts, Assignments & Billing.

Responsibilities for this position include the following:
HOMES Operations Management (40%)
* Create, update and maintain documentation for the HOMES system.
* Develop and maintain Short Stay processes, data subscriptions, client agreement forms, billing logistics, and accompanying reporting needs.
* Design, configure, and maintain conference registration processes including creating customized event registration forms and online housing reservation forms.
* Create, update and troubleshoot CES processes within the HOMES system.
* Synchronize and manage the processes of both the summer conference/guest housing and traditional student housing.
* Organize and, in consultation with the CES team and US Finance, manage the configuration of fields within StarRez including Charge Groups, Charge Items, Transaction Templates, and Room Rates.
* Assist in the organization and execution of summer conference incidental charges.
* Serve as primary CES liaison to US IT Data Analysts and leadership in developing, testing, updating, and maintaining data integrations entering and leaving StarRez
* Maintain the configuration of rooms data sufficient to carry out functions related to Living Learning Community assignments, Disability Resource accommodation requests, Gender Open Housing logistics, Room Classification, Clearance Codes, Intercollegiate Athletics liaising, and summer conference operations.
* Provide consultation and support to HRL leaders in the management of the back-end structure and operation of StarRez employment applications and their accompanying hiring practice needs
* Contribute to the creation and maintenance of the HOMES database's custom fields, Generic Data Tables, data subscriptions, scheduled emails, email templates, Data Import Wizard, Dashboards, and Portal Processes.
* Provide backup for the HOMES Integration Specialist.
* Manage the configuration of user access and permissions in the HOMES system. Assign users to roles and manage user access as required as part of the administration team.

Client Relations, Customer Service & Outreach (40%)
* Provide support and guidance to housing staff and University departments related to housing occupancy and summer conference processes and questions.
* Develop and maintain a custom training curriculum in Canvas and create documentation on conference processes. Deliver training for occupancy management tools and work processes for student conference staff in HRL, M Dining employees, and Facilities Management staff.
* Provide outstanding customer service to internal and external customers by sharing information with guests, clients, staff, students, parents and other customers in person, by phone, and by email.
* Manage and administer conference/event facility use agreements/contracts for external and internal clients.
* Coordinate timely invoicing and receipt of client payments, in consultation with the HRL accounting specialist.
* Collaborate with the CES Coordinator and CES Operations Coordinator to organize and manage client evaluation processes for all conference clients.
* Responds to client questions and resolves client concerns and problems in a timely manner.
* Handle customer relations and respond to individual inquiries.
* Resolve registration payment discrepancies; troubleshoot credit card issues; send invoices/receipts; and manage cancellations.
* Co-plan and co-facilitate regular HOMES Operations Meetings with the HOMES Integration Specialist.

Application & Contract Process (20%)
* Provide setup and overall management of the registration process for all event needs including individual pay forms.
* Test updates in both the current and new conference module/system.
* Provide administrative and technical support to the CAB team in managing the application process for new and returning students, including assisting with room placements, responding to customer requests, and helping ensure a positive student experience.
* Assist in maintaining and updating the HOMES system by preparing templates, coordinating reports and filters, updating contract terms, and supporting related processes such as Returning Resident Sign-Up, Winter Break Housing, Early Arrival, and Move-In scheduling.
* Create, run, analyze, maintain new and existing reports in the HOMES housing and conference database management system.

Qualifications

Minimum Qualifications
* BA/BS degree plus at least 4 years of experience or a combination of related education and work experience to equal eight years.
* Excellent written communication, verbal communication, and interpersonal skills are essential.
* Extensive knowledge of computer software, such as Microsoft Office, Google Apps, etc. and experience navigating web applications.
* Prior customer service/client relations experience is required.
* Knowledge of Higher Education Occupancy Management and/or Conference systems (e.g., StarRez, RMS Mercury, or IRIS).

Preferred Qualifications
* An understanding of relational database concepts and prior experience using SQL.
* Ability to handle multiple tasks and manage and maintain a high volume of work often under stressful situations.
* Demonstrate commitment to Diversity and Social Justice.
* Desire to learn new technologies and improve processes.
* Experience working in a University/College setting, preferably in Housing & Residential Life.

Pay and Benefits

Pay Range: $28.85-$30.06. depending on education/qualifications/experience
