About the Job

This position serves as the first point of contact for all HRMS related payroll work and records management, and manages additional HR generalist work related to recruitment/hiring, employee engagement, employment life-cycle and compliance. This is an exciting opportunity for someone to help the College of Biological Sciences transition into a shared services model of HR support (PEAK phase 4). This will provide the right candidate with valuable experience with change management and a chance to help direct how HR data processes will be coordinated in the college going forward.

HRMS/Payroll 50%

  • Develop best practices, process improvements, training, and documentation to ensure flawless execution of payroll and HR processes; and data integrity across the school
  • Identify and create HR data reports (e.g. regular new supervisor reports, termed employees, contract dates, clerical and technical step increase review, probationary/midpoint evaluations)
  • Develop and communicate plans for timely execution of high volume appointment entries for summer, fall, and spring semesters
  • Ensure timely execution of employment requirements, including I9 verifications, for new hires
  • Investigate and resolve highly complex appointment, payroll, and data record issues
  • Execute and oversee the timely and accurate entry of new hires, terminations, resignations, pay rate changes, leaves of absence and other updates in HRMS while adhering to employment terms and conditions for new, current, and terminated employees in accordance with University policies, employment laws, and labor contracts
  • Responsible for tracking various types of appointments and changes for reporting purposes (e.g. phase retirement, new faculty hires, retention offers, salary augmentations)
  • Run reports and queries to ensure accurate job data records for all employees; correct records as needed (exception reporting)
  • Research, analyze, resolve and manage sensitive employee payroll discrepancies, such as under or overpayments, and reconcile issues; and job data records
  • Process position management requests and advise departments on position management guidelines and resources
  • Monitor and consult all aspects of time and absence to ensure compliance of governing documents

35% - Recruitment and Hiring

  • Manage and coordinate hiring functions providing consultation to hiring managers with job descriptions; appropriate qualifications in accordance with the University job code; standardizing and unifying content for clear and non-biased language; identify and advise on starting salary range.
  • Post and manage staff positions in the University's employment system and monitoring applicant pools, including ensuring pool diversity through each step of the recruitment process.
  • Ensure a seamless candidate experience from initial engagement to offer acceptance and onboarding.
  • Screen applicants for required qualifications as requested.
  • Advise on applicant interviews by providing expertise in the selection of interview questions to identify candidate skills and experience.
  • Partner with hiring managers to determine appropriate employment offers. (Review internal equity, salary range, applicant qualifications, etc.)
  • Interpret and apply international visa and Permanent Residence policies and procedures, and advise management, supervisors, international employees and visitors on related issues. Facilitate the application process for faculty; and partner with the Office of the General Counsel (OGC) and International Student and Scholar Services (ISSS) for their advice and expertise. (as needed)
  • Onboard new employees to College and University HR/Payroll processes

Other 15%

  • Triage the school's HR email. Determine priority of requests.
  • Collaborate on creating, maintaining, and updating CBS and payroll webpages on the College's intranet site
  • Work closely with the HR Director to evaluate HR processes and needs to assist in development of customized resources, new policies, procedures, and best practices; initiate and lead projects as needed.

Qualifications

Required Qualifications

  • BA/BS degree in Human Resources or related field plus two years of professional HR related work experience, or a combination of related education and professional HR work experience to equal six years.
  • Experience with PeopleSoft or a similar Human Resources Management System.
  • High level of detail orientation - ability to analyze and compare large sets of data to find discrepancies
  • Strong customer service skills - this role requires frequent and timely communication with college employees, UMN partners, and job applicants

The College of Biological Sciences is one of the only colleges dedicated to the biological sciences in the country. Pay and Benefits

Pay Range: $70,000 - $80,000; depending on education/qualifications/experience

Time Appointment: 100% Appointment, hybrid schedule - on-campus time will be spent on the St Paul Campus
