About the Job

The Health Information Management Representative is responsible for managing the flow of patient information into and out of the School of Dentistry Clinics. This role uses Dentistry's electronic health record and related applications to process record requests and attach data from outside providers to patient records.

This position is primarily onsite with standard hours typically ranging from 8-4:30, with some flexibility on start and end times.

Key Duties:

  • Upholding Policy: The Health Information Management Representative must uphold and explain policies and procedures related to the release and intake of protected health information.
  • Managing Patient Record Requests: The Health Information Management Representative is responsible for responding to and initiating inquiries supporting Dentistry's Clinical Operations. This includes responding to email, postal mail, and face-to-face questions.
  • Managing Urgent Requests: The Health Information Management Representative is responsible for immediately processing urgent requests for protected health information. These requests are often made in emergency situations and require significant coordination with outside clinics to ensure critical patient information is available to the treating providers.
  • Managing Paper Records: Responsible for organizing and managing Dentistry's paper dental records and other materials.
  • Continuous Process Improvement: The Health Information Management Representative must develop/improve paperless processes/procedures to support record keeping. This includes the evaluation and modification of paper and digital file systems.

Key Responsibilities

  • Maintain physical Dental records
  • Update patients' electronic dental records (EDR)
  • Respond to ROI (release of information) requests for dental records
  • Validate requests and authorizations for the release of medical information
  • Timely entry of information from outside providers
  • Follow all HIPAA regulations
  • Perform other clerical duties as needed
Qualifications

Required Qualifications

  • A high school diploma or GED and four years of related office experience. Training/education maybe substituted for some of the years of experience.
  • Experience using personal computers, hardware, and basic software programs, including email, word processing, and spreadsheets.
  • Strong attention to detail
  • Excellent verbal and written communication skills
  • Good interpersonal skills.

Preferred Qualifications

  • Dental records experience preferred
  • Knowledge of dental terminology is a plus

Pay and Benefits

Pay Range: $23.51-$35.27;depending on education/qualifications/experience

Time Appointment: 100% Appointment
