Job Summary

GateWay Community College is hiring for an exciting new opportunity in our Facilities department for a Program Analyst!!
This role oversees college-wide event planning, scheduling, and facilities operations.The analyst supervises a team of Maintenance Operations Technicians to ensure efficient event setup, teardown, and maintenance support; serves as the primary contact for clients and vendors; manages event logistics, facility calendars, inventories, and equipment moves; and maintains accurate space data, drawings, and reports. The analyst collaborates closely with multiple departments to ensure seamless, well-coordinated events and facility operations across the college.

Essential Functions

30% - Analyzes the needs of the college in terms of event planning and scheduling for the college; supervises a team of Maintenance Operations Technicians and monitor the day-to-day work of this team to accomplish event setup/teardown, in addition to maintenance tasks; manages the facilities event calendar; approves all internal and external events; lead for all event-related subcontractors such as catering, laundry, AV, etc.; manages event set up work orders for all internal and external events and tabling requests (classroom set up needs will still be handled by academic affairs); generates all event tech work orders for IT, attends event checks, and ensures they can provide basic troubleshooting support; collaborates with the fiscal team to process payment and complete all required facility use forms; analyzes needs of the college and coordinates additional custodial needs based on schedule; primary point of contact for client or event organizer (including after-hours events as dictated by leadership); organizes labor to ensure events are set up efficiently and on time; manages weekly event services meetings with Facilities, IT, and Fiscal; interfaces with other departments to create internal self-promoted events and drive an increase of external event bookings; performs program/project research and analysis for the facilities team; and researches trends and performs data analysis and reporting as needed

30% - Manages 25Live for the Facilities department and the college; adds new users to 25Live, ensuring the user list is accurate and users have appropriate access; sends a 2-week event look ahead; books all external events and facility use rentals; blocks out rooms in 25Live that are impacted by construction projects and renovations; produces and analyzes the routine and ad hoc 25Live reports; leads training, support, and related documentation for new 25Live users; generates drawings and documents to standardize event set-up and technology offerings; manages and oversees the construction drawings archive process; ensures posted room numbers are accurate and match 25Live/maps

20% - Maintains inventory of all event set up furniture, fixtures, and equipment (FFE) and each event space set up and capacity in each configuration; supports the surplus process by maintaining an inventory of what is currently stored on-site with a date of when it will be moved to surplus to support internal requests for new furniture, "GateWay market place"; generates updated maps; supports updated building plans & construction drawings for the college and its satellite campuses

10% - Manages all equipment moves for all campuses; coordinates surplus, maintains asset documentation; coordinates pre-semester inspections; manages and responds to requests for new or repurposed furniture; organizes the time and labor of the maintenance operations technician to ensure safe and efficient equipment movement. Supports fleet reservations

10% - Other duties as assigned

Minimum Qualifications

Bachelor's Degree from a regionally accredited institution in education, business or public administration, or directly related field and two (2) years of related program management experience preferably in an educational setting.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Experience in Computer-Aided Design (CAD) software
B. Experience in event coordination, leading, and/or overseeing event contractors
C. Experience in managing and executing facility rental contracts
D. Experience with supervising a team of five (5) or more individuals
E. Experience managing event planning and scheduling, preferably in higher education.

Special Working Conditions
  • Will be required to travel or be assigned to all GateWay locations
  • Will require some evenings or weekends
  • May require prolonged periods of viewing a computer screen
  • Will be required to lift or carry up to #50 lbs.
  • Must be able to stand and walk for extended periods of time
  • MCCCD does not sponsor individuals for any type of work visas
