Requirements


  • High school diploma or equivalent required; associate or bachelor's degree in business, communications, or related field preferred.



  • 2+ years of experience in an administrative, coordinator, or office support role (or equivalent combination of experience and skills).



  • Experience supporting multiple stakeholders or departments is a plus.






Administrative Support



  • Provides administrative support to local program and Executive/Regional Directors.
  • Maintains files and documents for compliance in local program.
  • Supports local and regional Directors with monthly AR review and resolution.
  • Facilitates statewide referrals and licensing tracker.
  • Supports Administrative Assistants in the program.
  • Supports statewide data collection and required outcome reports.


Calendaring & Meeting Coordination



  • Maintains staff, consumer appoints by planning and scheduling appointments, meetings, conferences, teleconferences and/or travel. Resolves issues as required.
  • Organizes local events/celebrations which may include on/off-site catering and venue coordination.
  • Prepares and distributes agendas, notices, minutes and resolution for various meetings
  • Facilitates arrangements for interviews, trainings, etc.
  • Attends meetings and may prepare notes/minutes for distribution
  • Attends and actively participates in department meetings.


Miscellaneous



  • May direct or assist other administrative support staff.
  • Provides basic research for input into projects to assist with project analysis
  • Liaison with external contractors and vendors


  • Reviews operating practices and implement improvements where necessary


Description

We are seeking a highly organized, detail-oriented Administrative Specialist to support our operations and ensure the smooth functioning of daily workflows. This role provides administrative assistance to leaders and team members, manages information and documentation, coordinates schedules, and helps maintain efficient internal processes. The ideal candidate excels at multitasking, communicates clearly, and thrives in a fast-paced environment.


Key Responsibilities


  • Manage calendars, schedule meetings, and coordinate logistics for internal and external stakeholders.



  • Prepare, proofread, and format documents, reports, presentations, and correspondence.



  • Maintain organized filing systems and ensure accurate records and documentation.



  • Support onboarding processes by managing paperwork, system access, and new-hire setup tasks.



  • Coordinate travel arrangements, expense reporting, and vendor communication when needed.



  • Assist in planning meetings, events, and team activities.



  • Track tasks, deadlines, and follow-ups to ensure timely completion of work.



  • Maintain and update databases, spreadsheets, and project trackers.



  • Provide general administrative support to multiple teams as required.
