Department: Fleet Management Reports To: Senior Director, Fleet Operations FLSA Status: Exempt Job Classification: Full Time Location: Tampa, FL - on site (no remote) Schedule: This position generally follows a standard business schedule, Monday through Friday, during regular business hours. Occasional work outside of these hours, including evenings or weekends, may be required to meet operational needs. Supervisor Responsibility: Ship staff and contractors as required Travel Requirements: 25% - overnight travel required
Essential Duties & Responsibilities:
Duties and responsibilities for this position include, but are not limited to, the following: Operational Support
- Provide day-to-day support to the Marine Superintendent for assigned vessels.
- Monitor vessel movements, voyage progress, and conformance with schedules.
- Assist with voyage planning, including load and discharge sequencing, stowage, and cargo handling readiness.
- Support deck and engineering leadership onboard in operational decision-making.
Maintenance & Technical Coordination
- Assist with planning, scheduling, and tracking vessel maintenance, and repair periods.
- Review technical reports, defect lists, and preventive maintenance schedules.
- Coordinate with contractors, Class, and OEM vendors.
- Support procurement and logistics related to spares, stores, and critical equipment.
- Monitor vessel performance metrics as required.
Regulatory Compliance & Safety
- Support compliance with ISM, ISPS, MARPOL, SOLAS, MLC, Flag State, PSC, Class, and other regulatory requirements.
- Participate in internal and external inspections (USCG, PSC, vetting, and class surveys).
- Assist in preparing Masters and Chief Engineers for inspections and audits.
- Review and maintain SMS documentation and safety procedures.
- Participate in incident investigations, root-cause analysis, and corrective actions.
Crew Collaboration & Training
- Participate in crew safety meetings, performance discussions, and onboard evaluations.
- Verify crew certifications and readiness in coordination with Crewing.
- Provide operational guidance on safety, compliance, and US Ocean standards.
Documentation & Reporting
- Prepare and maintain vessel operational, maintenance, and compliance records.
- Develop analytical reports on vessel performance, inspection results, and corrective actions.
- Support customer-specific reporting for military or commercial partners.
Cross-Functional Collaboration
- Work closely with Fleet Operations, Engineering/Technical, HSSQE, Crewing, Cargo Operations and Commercial teams.
- Assist with operational risk assessments and continuous improvement initiatives.
- Support issue resolution during port calls, inspections, or unplanned events.
Required Qualifications
- 2 - 3 years of maritime or shipboard experience in a licensed deck rating.
- Understanding of vessel operations, maintenance, cargo handling, and marine regulatory requirements.
- Strong organizational, communication, and analytical skills.
- Ability to travel to vessels and port locations as required.
- Proficiency in Microsoft Office and operational reporting tools.
Preferred Qualifications
- Bachelor's degree in Maritime Studies, Marine Engineering, Nautical Science, Naval Architecture, or related field.
- STCW License (Officer-level) or equivalent shipboard experience. (Second officer level or above preferred)
- NSE Software experience.
- Familiarity with RO/RO, breakbulk, heavy-lift, or government cargo operations preferred.
- Experience with inspection processes (PSC, Class, vetting) and SMS documentation.
- OSHA, Hazmat, or maritime safety training.

Work Environment & Physical Demands
- Work performed in office, aboard vessels, and in port/terminal environments.
- Exposure to outdoor conditions such as heat, humidity, wind, rain, and noise.
- Occasional access to areas requiring climbing ladders, entering confined spaces, and navigating uneven surfaces.
- Travel required for port calls, dry-dockings, inspections, and vessel support.
- Ability to move around vessels, terminals, and shipyards safely.
- Ability to sit, stand, walk, lift to 25 lbs., and use standard office equipment.
- Adequate vision, hearing, and balance for marine environments.
