Overview

Konica Minolta has an exciting opportunity for a Bid Support Coordinator!

  • Review and analyze standard business and contract terms across various documents (e.g., NDAs, vendor forms, supplier questionnaires, standard terms and conditions), including supporting the Information Security Questionnaire (ISQ) process.
  • Collaborate with field Sales, Legal, IT, Security, and other internal departments to gather necessary information for documentation and ISQ completion.
  • Ensure all documentation and ISQ responses are reviewed, answered, approved, and properly presented to maintain integrity and compliance.
  • Coordinate and manage the assignment of RFP opportunities, and other customer-facing requests through the shared email mailbox, ensuring timely responses and accurate tracking.
  • Maintain and update task lists and logs for analysis, tracking, and ISQ progress monitoring.
  • Log and track all incoming requests accurately in designated systems; verify completeness and accuracy before processing; follow up to ensure timely completion.
  • Monitor progress of ISQ(s) and escalate issues when deadlines are at risk.
  • Ensure fair and balanced distribution of tasks to prevent overload.
  • Maintain confidentiality and compliance with company policies.
  • Demonstrate flexibility, adaptability, and willingness to learn new skills and take on additional responsibilities.
  • Perform general office support functions within a fast-paced business environment.
  • Exhibit strong multitasking skills and proactive follow-up to ensure accuracy and completion.

  • Strong organizational and time management skills; ability to handle multiple priorities under tight deadlines.
  • Excellent communication skills and comfortable interacting with executive management and liaising across department
  • Advanced problem-solving, analytical, and reading comprehension skills; proactive and resourceful in addressing challenges.
  • Adaptable to changing priorities and fast-paced environments.
  • Detail-oriented with exceptional accuracy, quality control, and ability to manage tracked changes.
  • *Must be detail oriented with have excellent organizational and follow up skills.
  • Assist with special projects as required

Qualifications

  • NDAs and Vendor forms may require physical signatures; therefore, the coordinator is expected to maintain an in-office presence to facilitate timely processing.
  • Must be open to working extended hours at month end, quarter end, and as needed
  • Associate's Degree in finance, economics, accounting or a related field, or equivalent work experience
  • 1-2+ years of experience in pricing, bid development, finance, sales support or marketing
  • Proficiency in Microsoft Office Suite and Adobe Acrobat
  • Knowledge of contract and leasing terms and conditions and general understanding of the Office Equipment Industry preferred
