Brief Summary of Work for this Position
Work involves advanced professional level clerical assignments that are related to reception, public contact, calendar management coordination of processes and project assistance requiring word processing, composition, spreadsheets, email, and other administravtive skills. Work may require specialized knowledge of departmental programs or policies, travel reimbursements, and other UNCW specific procedures.
Minimum Education and Experience Requirements
As a guide, minimum requirements are generally: graduation from high school, two years related experience, and demonstrated ability with generally accepted office software programs. Work may require knowledge of UNCW policies and procedures or the ability to apply policies and procedures to the work to be performed in the department.
Preferred Education, Knowledge, Skills & Experience

  • 6 years of progressively responsible administrative/office management experience
  • Keen attention to detail
  • Demonstrated ability to foster relationships with faculty, staff, students and community members at varying levels internal and external to the University
  • Ability to gather data, sort complex information, and prepare reports
  • Ability to analyze and interpret policies and guidelines, as well as detailed knowledge of administrative office work processes
  • Ability to work in teams and to maintain effective professional relationships
  • Ability to work independently, manage a variety of competing tasks, follow-up on assignments, and take initiative on projects (time and project management proficiency)
  • Demonstrated experience with Microsoft Office (Word, Excel, PowerPoint, Planner), SharePoint, Outlook (including mail, calendar and tasks) and Teams
  • Demonstrated experience with Zoom and Teams, including creating meetings, managing breakout rooms and meeting tools, and hosting hybrid meetings with some participants in-person and some virtual
  • Experience supporting a senior leader at a college or university
  • Skilled at scheduling and maintaining a rapidly changing calendar/schedule for a busy executive
  • Ability to quickly, competently, and professionally organize a myriad of factors into a cohesive and useful output
  • Ability to collaborate effectively within a team. Coordinate with others as needed, and provide leadership and direction to drive projects forward
  • Ability to work independently with minimal supervision in a fast-paced environment
  • A basic knowledge /understanding of the administrative and financial rules of operation at UNCW
  • Customer service oriented and skilled at creating a welcoming and responsive atmosphere for visitors and campus partners

Please note, this is a temporary position. The length of the assignment will be based on department need with the possibility of continuation. Temporary assignments cannot exceed 11 consecutive months without a full 31-day break from employment. Employees in temporary positions are not considered permanent state employees and do not earn leave. Temporary employees are subject to the Affordable Care Act guidelines.
