Job Title: Administrative/Practice Coordinator Location(s): San Francisco, CA Position Summary: The Practice Coordinator provides comprehensive administrative and operational support within a busy orthopedic specialty clinic. This role performs front-desk and back-office responsibilities, supports patient care coordination, and manages surgery scheduling. The coordinator ensures seamless clinic operations while delivering exceptional service to patients, providers, and internal stakeholders.
Key Responsibilities
Front Desk Operations
- Greet and register patients; verify insurance and demographic information.
- Manage check-in and check-out workflows and collect co-payments.
- Respond to patient inquiries and route calls appropriately.
Back Office & Patient Coordination
- Support clinical teams with preparation of patient charts and documentation.
- Coordinate follow-up appointments, referrals, and pre-visit requirements.
- Facilitate communication among providers, staff, and external partners.
Surgery Scheduling
- Coordinate surgery dates, pre-operative requirements, and provider availability.
- Communicate instructions to patients and ensure all documentation is completed.
- Liaise with surgical centers and operating room schedulers.
Administrative Support
- Maintain accurate records and support daily clinic throughput.
- Utilize Epic/APeX for scheduling, encounter management, and documentation.
- Prepare reports, correspondence, and documentation using Microsoft Office Suite.
Required Qualifications
- A college degree and at least 6 months of relevant experience,
or
- 2 years of healthcare administrative experience (clinic, medical office, or hospital setting).
- Proficiency with Epic/APeX and the Microsoft Office Suite.
- Strong organizational skills with demonstrated ability to multitask and manage competing priorities.
- Excellent written and verbal communication skills.
- High attention to detail and ability to work independently in a fast-paced clinic.
