A Brief Overview
The Coordinator for Training and Education, DCAPBS, provides support for the recruitment, education, accreditation, and other operational activities related to the Psychology, Social Work and Nurse Practitioner training programs, in addition to coordinating the Psychology Continuing Education program, department wide education and the DCAPBS CHOP Lecture Series.

What you will do

  • Psychology Training
  • Execute all aspects of Intern recruitment including administrative review of applications, distribution of applications to matched pairs of reviewers, applicant communications regarding interview acceptance and denials, room and catering reservations and organization of rank match listings
  • Collect and distribute applications during externship recruitment
  • Manage Fellowship applications and acceptance letters during recruitment
  • Update and maintain websites for training and recruitment including CHOP, APPIC, APPA CAS and the UPPD, and communicate externship openings and recruitment with the PENNDELDOT consortium
  • Onboard all trainees, including arrangement of Epic training, IS software and hardware requests for trainees
  • Process school affiliation agreements with the legal department
  • Orientate trainees including, creation & distribution of orientation materials and assignment & tracking of supervisor agreements
  • Assign and track evaluations of trainees and supervisors through OASIS
  • Schedule didactic seminars
  • Track vacation requests and approve payroll for interns and DCAPBS fellows
  • Co-organize graduation with Psychiatry Residency Coordinator, order certificates and gifts for graduates, and plan faculty recognition
  • File annual internship accreditation reports
  • Assist in preparation of self study and site visit for APA internship accreditation
  • Support Fellowship Training Director in broadening program and exploration of accreditation
  • Plan and attend training meetings including Training Advisory Committee, Interdisciplinary Training Council and monthly Internship Leadership meetings
  • Compile Intern proximal data and distal outcomes
  • Collect feedback from Interns to present to program leadership for potential program revisions
  • Pull faculty evaluations for promotions and appointments and provide to Academic Coordinator
  • Social Work Training
  • Support DCAPBS Social Work Training Director in further development of Social Work Training Program
  • Organize recruitment and onboarding of Social Work Fellows and work with Social Work Education office in recruitment and onboarding of Social Work Interns
  • Co-Plan logistics of interdisciplinary orientation, didactics and trainings with Psychiatry and Psychology Trainees, as well as coordination of graduation activities
  • Arrange Epic training and IS software and hardware requests for Social Work Trainees
  • Assign and track supervisor agreements and supervisor and trainee evaluations
  • Nurse Practitioner Training
  • Support DCAPBS Nurse Practitioner Training Director in creation of Pediatric Psychiatric Nurse Practitioner Fellowship program
  • Organize recruitment and onboarding of Nurse Practitioner Fellows and work with Nursing Education office in recruitment and onboarding of Nurse Practitioner Interns
  • Plan logistics of orientation, IS requests and Epic training for Nurse Practitioner Trainees
  • Assign and track supervisor agreements and supervisor and trainee evaluations
  • Assist Training Director with administrative operations of the training program
  • Education
  • APA Continuing Education Sponsorship
  • Assist CE Program Director in reviewing internal and external applications from education programs requesting APA CE credits
  • Facilitate communication between educational programs requesting APA CE credits and CE Program Director
  • Record psychologist attendance at CHOP approved CE events. Maintain records for all CHOP Psychologists; create and distribute CE certificates for external psychologists
  • Prepare and submit annual CE report and accreditation renewals to APA
  • Support other DCAPBS and hospital divisions with CE program administration
  • Behavioral Health/Trainee Research Seminar Series
  • Schedule and attend bi-annual committee meeting; record and distribute minutes
  • Schedule speakers and plan logistics of the Behavioral Health Seminar Series and the Trainee Research Seminar Series
  • Request and organize speaker disclosures, references, CV's and evaluations
  • Create flyers and notify department of learning objectives for BH Seminars and Trainee Research Seminars
  • Partner with Social Work to provide Social Work CEU's at BH Seminar
  • Departmental Education
  • Coordinate all department wide education initiatives including Leadership Development Series and CPI trainings
  • Assist with new educational training development and opportunities
  • Schedule speakers, room reservations and catering
  • DCAPBS CHOP Lecture Series
  • Maintain list of lecturers and topics
  • Schedule presenters to speak at external organizations
  • Assign and collect evaluations for faculty promotions and appointments

Education Qualifications

  • High School Diploma / GED - Required
  • Bachelor's Degree - Preferred

Experience Qualifications

  • At least two (2) years experience in program coordination - Required

Skills and Abilities

  • Must be able to collaborate with leaders in each discipline. (Required proficiency)
  • Must be able to work independently in terms of anticipating and prioritizing work, establishing procedures and systems, and ensuring orderly and timely work flow and must also be able to work as part of a team when assisting with program development and event coordination. (Required proficiency)
  • Must demonstrate initiative, resourcefulness, communication, organization and problem-solving skills (Required proficiency)
  • Microsoft Office, most notably Outlook, Word and Excel (Required proficiency)
  • Microsoft Teams (Required proficiency)
  • Must be able to troubleshoot AV/computer presentation issues (Required proficiency)
  • Knowledge of UPenn's OASIS evaluation tracking system helpful (Preferred proficiency)
  • Knowledge of APPIC databases and systems helpful (Preferred proficiency)
