Work Schedule: Full-time

Compensation: $31.89 - $31.89/hour

Tessera is seeking a professional and detail-oriented Administrative Assistant. The Administrative Support Specialist helps WSBOSC employees, managers and the Site Manager by performing various administrative tasks and projects, organizing meetings/events, making travel arrangements, and facilitating various HR/Vocational related duties while maintaining high confidentiality. This position is the front facing position in the WS BOSC on-site office.

Typical duties include but are not limited to:

  • Provide employees with answers to general questions related to Tessera policies and procedures.

  • Coordinates base, special building access, and clearance with employees, security manager and base leads. Assists with security documents for employees as needed.

  • Manage information on both bulletin and electronic boards including Tessera HQ, local, base and other information. Responsible for ensuring all state and federal employment law posters are current and posted in proper locations.

  • Responsible for assisting in interview setup as needed. Post/remove all job announcements from bulletin boards, assist applicants with completing on-line applications, and provide them with recruiter information.

  • Coordinate and set up events, presentations, training, and workshops. Responsible for Outlook/Teams invitations and recording event attendance. Work with Finance Manager to plan and execute quarterly all hands events.

  • Develop information for WSBOSC to travel to remote sites, including directions, recommended hotels, local POCs. Create a "fact sheet" for each site as needed. Prepay higher level expenses for those traveling. Submit receipts after traveling to Finance for timely reimbursement.

  • Responsible for collecting, reviewing, and distributing daily mail.

  • Responsible for receiving, scanning, and recording fuel receipts.

  • Manage apparel inventory and orders while keeping within the annual budget. Process employee reimbursement documents for PPE and uniforms.

  • Support HQ and CFT communications requirements and initiatives. Assist with efforts as needed.

  • Customer contact information, manage key NAVY clients in one spreadsheet.

  • Participate in various HR/Benefits/Vocational projects when needed.

  • May assist HR/Vocational at job fairs and other outreach activities.

  • Anticipates and prepares materials needed by the Finance Manager and informs supervisors on matters to be considered when needed.

Qualifications:

  • Highschool Diploma/GED is required.

  • Minimum of 3 years in administrative/clerical work.

Physical Requirements:

Employees must have the ability to perform the following physical demands for extended periods of time with or without assistance. The physical demands of this position may be reasonably accommodated for individuals with disabilities to perform the essential functions on a case-by-case basis.

  • Must be able to lift and/or move up to 50 pounds.

  • May be required to reach, kneel, walk, stand, and use repetitive motion for several hours at a time based on position duties.

  • Work may require repetitive motion, reaching, lifting, kneeling, and walking. Standing or sitting for several hours at a time, climbing in and out of a vehicle, and up and down stairs may also be required.

  • Must have the perseverance to work effectively under pressure for extended periods of time.

Requirements:

  • A valid state driver's license is required with the ability to obtain and maintain coverage by Tessera's insurance.
