The School of International Languages, Literatures and Cultures (SILLC) seeks self-motivated and highly qualified applicants for the position of Administrative Assistant. The successful candidate will join a vibrant team providing administrative and operational support to the faculty, staff, and students in the units that the SILLC supports. This position requires exceptional attention to detail, ability to prioritize, and work effectively within the team. The successful candidate will be punctual, collaborative, adaptable, and must have exceptional writing and communication skills. This position is full-time, in-person, and academic (August through May - benefits are covered in the summer). The departments in SILLC are dedicated to preparing students for success in the global economy. There are six academic departments in SILLC: the German Studies Department, Russian & Slavic Studies Department, Religious Studies & Classics Department, Africana Studies Department, East Asian Studies Department, French & Italian Department. | Duties & Responsibilities |
- Provides administrative support to the Department Heads in German Studies and Russian and Slavic Studies (3rd Floor of the Learning Services Building).
- Provides professional presence supporting faculty, students, and staff in the German Studies and Russian & Slavic Studies Departments.
- Communicates with internal and external stakeholders, prepares correspondence, documents and reports, compiles records, schedules meetings, organizes and maintains information, coordinates calendars, maintains and updates department websites, makes deliveries around the campus, maintains inventory and orders supplies as needed.
- Provides oversight for the SILLC student workers when needed.
- Supports special projects and SILLC events.
- Assists
with Building Management duties (submitting service requests, sending out maintenance notices, etc.). - Works directly with the SILLC Business Team, Director of SILLC, Manager, Business and Finance, and faculty, as needed.
- Performs administrative support duties, such as daily department opening and closing procedures, including unlocking and locking file cabinets, scanning, copying, faxing, etc. Troubleshoots small issues regarding office equipment, and makes sure that the copy machine is stocked with paper.
- Greets visitors via telephone and in person, takes messages, answers questions/addresses concerns/directs visitors to appropriate personnel, enters data, and sorts mail.
- Maintains a clean office.
Knowledge, Skills, and Abilities:
- Ability to demonstrate punctuality and reliability. This position requires in-person presence.
- Strong attention to detail, time management, and ability to learn quickly and communicate effectively.
- Ability to work with faculty, staff, and students with a wide range of perspectives and experiences.
- Knowledge of general office practices.
- Ability to handle confidential and sensitive information.
- Ability to be organized and handle interruptions.
- Ability to ensure tasks get completed.
- Proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint).

| Minimum Qualifications |
- High school diploma or high school diploma equivalency is required.
- Minimum of 3 years of relevant experience, or equivalent combination of education and work experience.
