The Advanced Patient Services Representative plays a crucial role in ensuring the smooth operation of the clinic practice by managing patient interactions, administrative tasks, and providing exceptional customer service. Kirkwood, MO Minimum Qualifications
- Education: High school diploma or equivalent.
- Experience: Demonstrated proficiency in both Patient Services Representative and Advanced Patient Services Representative competencies, as verified by department leadership.
Skills, Knowledge, and Abilities
- Knowledge of medical terminology, insurance practices, and billing procedures.
- Strong verbal and written communication skills for professional interaction with patients, healthcare professionals, and staff.
- Proficiency in basic computer skills, including data entry and word processing.
- Excellent customer service skills with empathy, tact, and diplomacy in handling patient inquiries and concerns.
- High accuracy and attention to detail for patient information entry, scheduling, and documentation.
- Ability to maintain confidentiality and adhere to privacy policies.
- Adaptability under pressure and professionalism in unexpected situations.
- Effective problem-solving skills for resolving patient concerns and escalating complex issues appropriately.
Essential Duties and Responsibilities
- Greet patients and verify identity promptly and professionally.
- Perform clerical tasks: answer phones, create Epic charts, process mail, scan documents, manage RightFax, and make copies.
- Complete all check-in, check-out, and appointment scheduling activities.
- Correct registration errors in appropriate work queues.
- Manage department schedules and keep patients informed of delays.
- Communicate with staff to optimize clinic efficiency and securely share patient information.
- Schedule cases/testing and provide surgical/procedural estimates in compliance with the No Surprise Billing Act.
- Coordinate with other departments to ensure effective patient care delivery.
- Address patient complaints professionally and escalate when necessary.
- Balance and close cash drawer daily; manage accounts receivable and establish payment plans.
- Maintain and follow up on departmental work queues.
- Demonstrate knowledge of clinic equipment (computers, scanners, credit card machines, etc.).
- Review communications promptly, participate in meetings, and suggest workflow improvements.
- Act as a change champion for new initiatives and EPIC updates.
- Maintain a safe, clean reception area following infection control guidelines.
- Adhere to safety regulations and confidentiality policies.
- Ensure EHR and chart accuracy.
- Perform other duties as assigned.
