Key Responsibilities:
- Arrange and confirm bookings with steamship carriers on behalf of customers.
- Create and validate transport orders to ensure timely pickup at origin.
- Monitor shipment milestones and proactively communicate status updates to customers.
- Prepare, review, and distribute all required import documents (e.g., bills of lading, commercial invoices, packing lists) to carriers, consignees, and other stakeholders.
- Ensure compliance with U.S. Customs regulations, FMC guidelines, and DHL internal SOPs.
- File ISF (Importer Security Filing) and other regulatory documentation accurately and on time.
- Act as the primary point of contact for customers regarding shipment status, exceptions, and inquiries.
- Identify and resolve operational issues promptly to meet and exceed customer expectations.
- Maintain accurate customer profiles and ensure service level agreements (SLAs) are met.
- Audit vendor invoices and charges for accuracy prior to submission to accounting.
- Confirm payment responsibility based on agreed Incoterms and audit criteria.
- Ensure file-level profitability and proper cost/revenue allocation.
- Coordinate with warehouses, carriers, and dispatch teams for timely cargo movement.
- Maintain accurate data entry in DHL systems (e.g., CargoWise, SAP).
- Support continuous improvement initiatives and adhere to DHL's Quality Management System.
ThermoNet & GxP Responsibilities (if applicable):
- Handle daily operations for DHL Ocean ThermoNet shipments in full compliance with GxP guidelines.
- Organize temperature-controlled pickups and deliveries (e.g., reefer bookings).
- Monitor and control cold chain processes, acting as escalation point for global monitoring teams.
- Interface with DHL's Temperature Management Solutions Team and provide required documentation for LifeTrack SOP and PMR creation.
- Perform other tasks as assigned to support team and business objectives.
Education & Experience:
- High school diploma or equivalent required; Associate or Bachelor's degree preferred.
- Minimum 2 years of experience in ocean freight forwarding or import operations.
- Experience with temperature-sensitive shipments and GxP compliance preferred.
- Proficiency in MS Office Suite and freight management systems (CargoWise experience a plus).
- Knowledge of Incoterms, FMC regulations, and U.S. Customs requirements.
- Strong organizational and time management skills.
- Excellent communication and problem-solving abilities.
- Ability to work under pressure and manage multiple priorities.
Pay Range: $19.39 - $25.85/hr. (Based on Experience)
