Overview

Assist the Hotel Departments in their purchasing needs, while monitoring hotel spending.

Responsibilities

  • Obtain bids and purchase high quality items for the best price for retail outlets as assigned. All purchases must be approved by Executive Committee Member.
  • Consolidate and standardize purchasing of fast-moving goods across properties to maximize overall purchasing efficiency
  • Monitor the grades and quality of products received to ensure that they meet the hotel's established standards
  • Obtain bids from vendors, according to the specifications set by the department heads. Determine the best possible price for the desired items and place orders. Schedule deliveries of items to meet the operational needs outlined by the department heads.
  • Maintain HEI Hotels and Resorts purchasing programs and arrangements. Ensure adherence to all corporate purchasing policies and procedures such as requisition process.
  • Personally check and ensure appropriate levels of inventories are maintained to minimize waste and maximize ratio turnover.
  • Comply with attendance rules and be available to work on a regular basis.
  • Managing the day-to-day operations for the department covering all storage capacities, ordering, maintaining compliance with local systems in place, Federal, State, company regulations
  • Establishing and maintaining measurable performance metrics for all procurement activities to include but not limited to supplier performance, supplier quality, internal order\requisition placement performance, buyer activity levels, financial (AP) performance, and product shortage elimination.
  • Report to DFOB, Exec Chef the measurable status of progress and corrective actions as it pertains to supplier performance.
  • Ensure performance improvement and recovery plans are developed, issued, tracked and reported on as required for supply base management and improvement.
  • Negotiate and execute purchase orders as needed to support the critical business needs.
  • Manage product flow to ensure inventory is maintained to the optimum level to support on time usage while keeping inventory holdings at the minimum or as appropriate levels, in conjunction with obtaining budgeted\forecasted food and beverage cost
  • Strategically develop and implement product/supply chain strategies covering all used and approved items, services and supplier processes throughout the local market to deliver maximum value, leverage, and standardization.
  • Strategic sourcing process to control cost by managing the following: Commodity and negotiation strategies including Terms and Conditions Supplier selection/de-selection, evaluation and rationalization of Supply chain solutions, including vendor managed inventory (VMI), supplier consignment, safety stock levels, ECOSURE compliance, FDA and NSF certifications etc.
  • In conjunction with DFOB and Chef, drive usage of cost models to validate commodity strategies and to understand significant cost drivers.

  • Develops an overall vendor base which creates and sustains a competitive advantage, utilizing local market exploitation, leveraging spend. - Avendra compliance
  • Develop Purchasing guide - Food, Beverage, Dry Goods
  • Assist in providing commodity support New Menu projects as required to meet target costs and establish program cost models, in conjunction with Chef and DFOB
  • Together with Chef and DFOB manage product savings initiatives in line with profit plan, strategic marketing and overall business objectives.
  • In compliance with all the company, property and departmental trainings, systems, regulations, standards in accordance to positional and department expectations and accountability
  • Navigate extensive procedural worksheets and accountability of operational success through via iBuyEffecient, forecast and budget compliance
  • Ensure compliance in Code of Conduct
  • Ensure compliance in uniform, grooming guidelines,
  • Ensure compliance in direct purchasing storeroom(s) key authorization process
  • Ensure all invoice(s) are received, closed, signed off by Resort Executive or designee and sent to finance by end of each day
  • Ensure compliance in equipment maintenance logs. Walk in coolers, freezers, dry storage
  • Establish storeroom(s) organization, cleanliness, established pars as needed
  • Attend BEO meetings, and all meetings as designated
  • Ensure Purchaser | Receiver follows property and company set, standards, procedures and guidelines

Qualifications

  • High school diploma or equivalent required.
  • Hotel purchasing experience required.
  • Must have full knowledge of retail purchasing procedures.
  • Ability to apply basic supervisory skills to plan, organize, direct, coach, train and discipline associates, as necessary.
  • Must be proficient in purchasing platforms
  • Must be proficient in Spreadsheet, report generation, market pricing structure, analytics
  • Microsoft Word, Excel, Power Point
  • Effective verbal and written communication skills. Ability to adapt communication style to suit different audiences, such as effectively communicating with supervisors, coworkers, public etc.
  • Strong computer skills, ideally with experience using Windows-based PC programs, iBuyEffecient
  • Ability to coordinate multiple group efforts within the department to achieve objectives.
  • Excellent written and verbal communication skills.
  • Excellent organizational and problem-solving skills.
  • Ability to handle multiple tasks, with awareness of deadlines.
  • Ability to identify processes needing improvement, and to recommend improvements.
