Responsibilities

  • 1. Ensure all shifts across Yale New Haven Hospital - York Street Campus and Saint Raphael Campus at various cost centers are adequately staffed with pharmacists and technicians for each shift, adhering to scheduling deadlines.
  • 2. Provide routine and urgent, timely communication of staffing needs and progress of open shift management with managers.
  • 3. Serves as an administrator to the pharmacist and technician managers. This includes, but is not limited to, validating the employee's weekly schedule in the timecard system, performing all manual timecard editing for designated staff, confirming payroll information for accuracy, and assisting managers with any payroll discrepancy issues.
  • 4. Collect PTO and vacation requests biannually. Research PTO and vacation requests to ensure proper coverage and parity. Work collaboratively with managers to communicate approval or disapproval of requests for employees. Be able to produce a 6-month PTO approval grid to meet designated timelines.
  • 5. Utilize scheduling software and associated technologies to meet all scheduling and payroll timelines.
  • 6. Maintain a list of all current full-time, part-time and per-diem employees, to facilitate coverage when needed for all responsible areas.
  • 7. Outreach to all staff members to find coverage for jury duty, disability, and cover emergency shifts due to illness, intermittent FMLA etc. Coordinate with managers for any appropriate FMLA documentation and sick time accruals. Coordinate coverage with temporary external staffing agencies, if applicable.
  • 8. Maintain and update the Sick-Call Algorithm for both Technician and Pharmacists in conjunction with the managers.
  • 9. Maintain and update the Cross-Coverage Tracker for both Technicians and Pharmacists in conjunction with the managers.
  • 10. Provide schedule and payroll auditing as needed, including but not limited to monthly analysis of sick calls to track and trend patterns for both technicians and pharmacists.
  • 11. Perform other administrative duties and responsibilities as directed by Pharmacy Leadership.

Qualifications

EDUCATION:
High School Diploma or GED is required. Associates degree is preferred.

EXPERIENCE:
5 years of related experience in scheduling, office administration, or pharmacy technician experience or prior administrative assistant experience.

LICENSURE:

Active Connecticut Pharmacy Technician Registration without restrictions AND Active Pharmacy Technician Certification Board (PTCB) certification or equivalent within 1 year (12 months) of hire


SPECIAL_SKILLS:
Superior typing skills with PC aptitude (Microsoft Office products), excellent telephone and customer contact skills, superior verbal and written communication skills, advanced project management skills, strict attention to detail, ability to create an effective schedule, ability to maintain confidentiality, ability to exercise good judgement.

ACCOUNTABILITY:
The Pharmacy Scheduler will report to the Manager, Pharmacy Operations. They will also work in collaboration with the pharmacist and pharmacy technician managers.

COMPLEXITY:
This position requires the ability to work with diverse customer groups and individuals. The ability to problem solve, work independently, and manage competing priorities is essential. Superb customer service is required.

Position Overview

The Pharmacy Scheduler will be primarily responsible for pharmacist and technician scheduling and payroll, ensuring that all shifts across Yale New Haven Hospital in various cost centers at the York Street Campus and Saint Raphael Campus are scheduled appropriately, and payroll processes are maintained for these areas. They will be responsible for preparing work schedules and ensuring that the appropriate number of staff is available for each shift, displaying a high level of attention to detail. This includes collaborating with internal departmental schedulers for each clinical and operational area, engaging per-diem staff as necessary, and engaging with department leadership and TA on temporary staffing coverage, as needed. This position will work in conjunction with the Manager of Pharmacy Operations to approve/deny time off requests for employees, manage open shift coverage, help to facilitate coverage for sick calls, and perform timecard editing to meet payroll deadlines. In addition to scheduling, this position will serve as an administrator for the pharmacist and technician managers.
