The Opportunity


We are seeking a highly organized, professional, and proactive Administrative Assistant to support the efficient day-to-day operations of our office. Reporting to our Executive Business Partner - Office of the CEO, this individual will be a central resource for internal staff, leadership, and external partners, providing a wide range of administrative, governance, and event support. The ideal candidate is detail-oriented, reliable, and excels at managing multiple responsibilities with poise and discretion.


What You'll Be Doing


Office Management



  • Process visitor badges as needed for ad-hoc visits, (in)Week events, and others as needed.
  • Pick up and process daily mail and package delivery. Ship outgoing packages in a timely fashion.
  • Maintain and replenish office supplies, snacks, and beverages; process special orders as needed.


Administrative Support



  • Triage and prioritize inbound communications (email, phone, internal messaging).
  • Support leadership with travel arrangements, expense reporting, invoice tracking, and approvals.
  • Assist functional teams and executives with special projects and research tasks.


Event Organization & Execution



  • Support Sunstream leadership in planning, organizing and executing staff and customer events.
  • Research vendors and venues, coordinate scheduling, manage supplies, and provide on-site event support.
  • Track event-related expenses, process vendor invoices, and ensure timely billing.


What You'll Bring to the Table



  • Associate's or Bachelor's degree in Business Administration, Office Management, Communications, or a related field preferred.
  • Equivalent work experience will be considered in lieu of a degree.
  • Solid understanding of office administration, executive support, and basic financial processes (expenses, invoicing).
  • Ability to work on-site at SunStream's St. Paul office Monday-Friday from 8:00 a.m. to 4:30 p.m.
  • Ability to travel nationally on an occasional basis (less than 5% of the time)
  • Experience supporting senior executives or board members.
  • Background in a financial services or corporate office environment.


Physical Requirements



  • Positions in this class typically require: reaching, standing, grasping, feeling, talking, hearing, seeing, and repetitive motions. In addition, this position typically requires the ability to use hands and fingers to operate a computer keyboard, mouse, and/or telephone.
  • When traveling by plane or automobile, the ability to sit for an extended period of time.
  • Sedentary Work: Ability to lift up to 25 pounds on a regular basis and ability to exert a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time, but may occasionally require the employee to stand, walk, bend, or stoop down.
