As an Executive Assistant, you'll provide exceptional administrative and operational support to Findorff's leadership while helping streamline company resources in a fast-paced, collaborative environment. This position is ideal for someone who thrives on juggling multiple priorities, loves solving problems before they arise, and takes pride in the details. You'll work closely with company leaders, manage logistics and communications, and handle sensitive information with professionalism and discretion.

Key Responsibilities:




  • Manage complex calendars for functional department leaders and coordinate internal and external meetings.



  • Prepare agendas, take meeting minutes, and send follow-up notes and action items.



  • Coordinate logistics for travel, events, and jobsite visits across Findorff offices.



  • Prepare expense reports, track invoices, and support corporate card administration.



  • Create, proofread, and format leadership communications and presentations.



  • Maintain accurate data in systems; regularly review client and contact lists.



  • Support company and employee events - from planning logistics to coordinating details onsite.



  • Serve as a trusted resource to the Executive Ops Team, handling confidential information with care and good judgment.




Qualifications:




  • Strong written and verbal communication skills with exceptional attention to detail.



  • Ability to manage multiple priorities and deadlines with professionalism and discretion.



  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).



  • Ability to produce high-quality work under tight timelines.



  • Collaborative spirit, customer-service mindset, and sense of ownership in every task.




Education & Experience:




  • High school diploma or equivalent required.



  • 3-5 years of office administrative experience required.



  • Associate degree in Business Administration preferred.



  • Experience in the construction industry helpful but not required.
