Overview

The Knickerbocker Hotel is seeking a detail-oriented and collaborative Group and Events Coordinator to join our team. In this key role, you will serve as the primary liaison between the hotel and clients booking group accommodations with or without events, ensuring a seamless experience from initial planning through execution. Responsibilities include coordinating rooming lists, VIP arrangements, payment methods, banquet event orders (BEOs), and distributing change logs and daily event summaries. You'll also maintain accurate records in Delphi, manage booking updates and traces, and work closely with the sales team to oversee the function diary. Additionally, you'll reconcile banquet checks and review final bills upon group or event departure. Success in this role requires strong communication skills, exceptional attention to detail, and the ability to collaborate effectively with multiple departments to deliver flawless experiences. Responsibilities

    Assist sales team with administrative duties associated with group sales including but not limited to sales/PMS system inputs, lead response/proposals, contracting, turnover, and billing.
  • Support development and communication of group resumes and BEOs of critical group and event information for property team effective service execution.
  • Assist with coordination of marketing activities as needed and directed by leadership.
  • Respond to and follow-up on emails and/or new requests in a timely fashion.
  • Maintain trace files and other master or client facing documents as needed.
  • Maximize efforts towards productivity, identify problem areas and assist to implement solutions.
  • Assist with other required daily sales, marketing, and group servicing activities and operations.
  • Attend all required meetings and trainings.
  • Perform other duties as requested by management.


Qualifications

  • Minimum one year experience in upscale/luxury hotel in a high-volume hotel or related field preferred.
  • Front Office experience desirable.
  • College degree/course work in related field preferred.
  • Computer knowledge/skills - must be proficient in Word, Excel, Power Point, Outlook, Teams, and other relevant programs.
  • Experience managing/using sales automation & PMS systems - Delphi and Opera highly desirable.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and ability to work in a team environment.
  • Communication - An active listener with both verbal and written skills in an attentive, friendly, courteous and service-oriented manner.
  • Multitask and prioritize departmental functions to meet deadlines.
  • Organizational Skills - Ability to determine priority tasks and maintain strong attention to detail.
  • Effective in managing challenges, including anticipating, preventing, identifying and solving problems as necessary.
  • Understand and apply complex information, data, etc. from various sources to meet appropriate objectives.
