Job Title: Customer Services Professional 1

Location(s): Cypress, CA

Summary:

We are seeking a detail-oriented Customer Services Professional to join our team of 12 coordinators. The ideal candidate has strong communication skills, a customer-first mindset, and prior experience in dispatching or coordinating service operations. This role requires frequent interaction with customers, project managers, and technicians to ensure timely service delivery and customer satisfaction.

Key Responsibilities:



  • Act as the primary point of contact for service customers, ensuring expectations are met.
  • Handle incoming service requests via phone (50-60 calls/day) and email, creating service work orders and dispatching personnel.
  • Create, manage, and dispatch service tickets; review technician notes to ensure completion.
  • Work closely with Project Managers and the Customer Service team on scheduling and service delivery.
  • Schedule resources to support service agreements and upcoming weekly work.
  • Make scheduling and resource allocation decisions based on urgency, contractual obligations, and availability.
  • Order and track parts/subcontractors in support of maintenance plans and service calls.
  • Review time-and-material (T&M) service orders for scope and costs; process invoices in line with billing practices.
  • Proactively follow up with customers post-service to ensure satisfaction.
  • Support, inform, and coordinate activities and resources across branch offices and the Digital Service Center.


Required Qualifications:



  • High School Diploma/GED required.
  • At least 1 year of relevant experience in service coordination, dispatching, or fire/HVAC/security systems support.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office; prior experience with SAP preferred.
  • Excellent customer service, organizational, and interpersonal skills.


Preferred Qualifications:



  • Familiarity with HVAC automation, fire, or security systems.
  • Experience in a high-volume email and phone communication environment.
  • Fire dispatch experience will be considered.
