Plant Coordinator

Your main responsibilities

Primary function of assisting the Head of Plant Operations and staff with various duties. Duties may include making travel arrangements, monitoring cost center charges, preparing various reports & charts, and maintaining various databases and records.


Responsible for ordering non-production items for the maintenance and administrative (Safety, HR Finance, etc.) departments. Purchase and expedite materials to be delivered to factory. Input items into database and software for purchasing and maintain a status check on parts to be delivered.


Maintain preventive maintenance system and distribute work orders to the maintenance team.


Create purchase orders. Review and upload invoices to purchase orders. Scan and send invoices to Accounts Payable for payment. Follow-up on payment.


Perform mail-handling functions. Meter outgoing mail and distribute all incoming mail. Maintain various pieces of equipment, such as printers. Manage supply, printer/mail/clerical, and conference rooms. Order supplies for these rooms and keep organized.


Prepare various weekly and monthly reports to be shared with management and departments.


Track and maintain various lists, logs, schedules and reports. These may include equipment inventories, facility usage reports, SDS, materials and others. Update spreadsheets as necessary. Facilitate payment for invoices and billing.


Responsible for revising ISO procedures as requested. Duties may include updating procedures, tracking and obtain approvals, and data entry.


Schedule removal of scrap products and all hazardous waste materials by contacting vendors for pick up. Ensure removal is performed in a timely manner.


Coordinate onsite meetings and trainings, including prep of rooms, ordering food and clean-up.


Keep employee roster updated for use during emergencies. Security, Fire system and ADT point person and key user. Maintain all keys, badges and phone system for plant.


Assist with coordination of plant events.


Web editor for North America Escalator Division.


Vendor management for maintenance non-production purchasing, such as cleaning services, utilities and uniforms.
All other duties assigned by management.

What you bring

Education/Experience:
Associate or Bachelor's degree preferred.
3-5 years of Customer Service and/or Administrative experience.


Language Ability:
Excellent communication Skills - verbal and written.


Math Ability:
Proficiency in mathematics.


Reasoning Ability:
Proven good decision making, goal setting, problem solving, time management, organizational skills.


Computer Skills:
Computer Skills - proficient in Microsoft Word, Excel, PowerPoint -SAP system knowledge a plus.


Certificates and Licenses:
No certifications needed.


Travel:
Minimal (<5%)
