Position Summary

We are seeking a highly organized and detail-oriented Senior Administrative Coordinator to support our Senior Associate Dean for Clinical Affairs. Incumbent will play a vital role to support administrative and clinical support initiatives in our Teaching Clinics.
This position will report to the Senior Associate Dean or Clinical Affairs with administrative oversight by our Senior Director of Administration and Clinical Operations.
Responsibilities
Administrative Support: 40%
- Support calendar management and scheduling for senior leadership.
- Schedule meetings, organize agenda items and prepare meeting minutes.
- Book and reserve conference rooms for meetings and events.
- Assist with mailings, shipments, and internal/external communications.
- Manage travel arrangements and reimbursement processing
- Assist with preparing reports as needed
Clinical Affairs Support: 40%
- Assist in compiling and organizing available data from various platforms to create comprehensive reports, including quality assurance data and visit statistics.
- Occasionally assist with patient registration, check-in, and scheduling to support clinical front-end operations using EPIC.
- Supports the organization and management of annual clinical events, including clinic orientations, CPR/BLS.
- Assist in the preparation and distribution of clinical reports and documentation.
- Update compliance reports for students and staff.
- Maintain incident/accident report logs.
- Support with tracking activities to ensure loop closures and necessary follow-ups.
- Other duties as assigned.
Project Coordination: 20%
- Help plan and monitor multiples projects.
- Assist with tracking project milestones, deliverables, and deadlines.
- Maintain project documentation, task lists, and status reports.
- Ensure loop closures and follow-ups on project/office activities.
- Support operations team by tracking progress and ensuring timely completion of tasks.
- Facilitate communication between project stakeholders to ensure alignment and clarity.
Other duties as assigned.
Minimum Qualifications
- Bachelor's degree or equivalent in education and experience plus 3 years of experience.
Preferred Qualifications
- Bachelor's degree or equivalent in education and experience plus 3 years of related experience
- (Equivalency in education: 6 years of experience)
- Maintain confidentiality and handle sensitive information with discretion.
- Ability to work independently and as a team.
- Ability to multitask and follow-up on activities required.
- Excellent judgment, tact, interpersonal skills, confidentiality required.
- Excellent written and oral communication skills required.
- Must be able to prioritize, manage diverse projects, and be detail oriented.
- Computer literacy required (MSWord/Excel), Outlook and PowerPoint.
- Knowledge of university finance system.
