Dental Clinic Operations Assistant

This position is an on-campus, full-time, 12-month appointment based in Champaign, Illinois covered by the Professional Support Staff (PSS) Union with an annual salary of $41,974.40.

The Dental Clinic Operations Assistant
is responsible for organizing and managing the dental office and the
operational flow of the dental hygiene clinic and student workers.

The
Dental Clinic Operations Assistant appointment is on a schedule established by the Dean of
Health Professions. The position involves frequent handling of confidential
information and medical records.
Indirect supervision is provided; the Dental Clinic Operations Assistant
must be able to work independently and accurately prioritize tasks. Independent
and professional judgement is required. Operating hours of the dental clinic
often necessitate an altered work schedule, which may occur on short notice.

Essential Job Functions:

Organizes and manages the
dental clinic office operations, supporting clinicians and supervising part-time
and student workers, including:

  • Schedules and screens appropriate patients to fulfill required students' clinical course requirements for each semester. This involves utilizing patient software tools and applying independent judgement in a fast-paced environment.
  • Maintains accuracy on the following 1st and 2nd year student's semester reports: Attendance, Clinical Assistants, & Healthy Smiles (if applicable).
  • Responsible for data entry of all incoming 1st year students pertaining to medica history, Dentrix access, & assigned PO numbers.
  • Prepares and maintains student identification and organizational materials for designated clinic and academic areas.
  • Ensures the accuracy of clinical requirement records across all levels of student progression by being part of the quality assurance team.
  • Coordinates system access by assigning usernames and passwords for students, staff, and faculty to relevant clinic software platforms.
  • Maintains digital scheduling systems for academic and clinical operations across multiple semesters and cohorts.
  • Organizes and files all student documents each semester for first- and second-year students.
  • Reviews patient chart accuracy and documentation for quality assurance and treatment deficiencies.
  • Compiles and updates the annual master list of new patients to support Quality Assurance reports, student audits, and patient satisfaction tracking.
  • Communicates with local dental offices regarding shared patient records and radiographs.
  • Creates and maintains entries in the electronic health record system, Dentrix, to keep patient information updated including communication, medical history, and treatment plans.
  • Oversees Dentrix Hub to manage new patient requests, send text confirmations, and coordinate communication for daily and future appointments.
  • Document patient types for each student ensuring that patients are scheduled for continued care.
  • Supervises part-time employees in the dental clinic office.
  • Responsible for records management including compliance with the HIPAA, FERPA, Local Records Act and Illinois State Archive.
  • Collaborates with outside agencies and community organizations to manage patient scheduling.
  • Coordinates interpreters to support effective communication during patient appointments.
  • Screens patient concerns and refers complaints to the Program Director as appropriate.
    Maintains close collaboration with the Program Director on protocols, policies, and patient care.
  • Communicates daily with lead instructors to stay updated on student requirements, case types, and appointment needs.
  • Ensures accurate scheduling, tracking, and return of appointments.
    Serves as a referral point and ambassador for the Dental Hygiene Clinic in the community.
  • Prepares monthly and end-of-semester Dentrix reports for the Program Director and Dean, including patient volume and revenue.
  • Generates and reconciles key reports.
  • Works with the business office to maintain financial ledgers and ensure accurate deposit processing.
  • Monitors Dental Office and Clinic software performance and reports and coordinates issue resolution with Campus Technologies.
  • Attends program and department meetings as requested.
  • Other duties as assigned.

Minimum Requirements:

  • Experience in a dental office setting as a receptionist, dental assistant, or dental hygienist, or a certificate in dental assisting or an A.A.S degree in dental hygiene.
  • Prospective new hires will successfully complete a post offer, pre-employment criminal background check with fingerprinting. The background check review includes, but is not limited to, exclusionary offenses per the Illinois School Code and Title IV of the Higher Education Act.
  • Knowledge of Microsoft Office applications including proficiency in Teams and Outlook.
  • Organization skills, problem-solving skills, verbal and mathematical abilities sufficient to produce correspondence, prepare reports, document legal records, and balance daily ledger.
  • Experience organizing office procedures and operations.
  • Excellent customer service and communication skills.
  • Experience working with individuals from various backgrounds.
    In an effort to comply with SURS return-to-work restrictions for employers (40 ILCS 5/15-139.5), candidates for employment at Parkland College must either not be a SURS annuitant or must be willing to suspend his/her SURS annuity upon employment.
