Join our team at RK&K as an Administrative Assistant for our Construction Management Department in Raleigh, NC. In this role, you will provide task-oriented support for our projects and teams. You will be responsible for these essential functions: Essential Function In this role, you will be responsible for managing the following key functions:
Serve as the primary point of contact for departmental needs, including events, fleet vehicles, and general inquiries.
Oversee departmental communications, including managing phone calls, mail, shipping, and welcoming visitors.
Coordinate new employee onboarding, including collaboration with the IT department for equipment and access setup.
Manage orders and vendor relations; ensure inspectors have necessary field supplies.
Create and maintain field staff expense reports and timesheets.
Provide support for fleet management, including monitoring, auditing, and assisting with inspector mileage tracking.
Liaise with IT for printer, copier, and other technology-related support needs.
Coordinate conference and training course registrations, as well as travel arrangements (airfare, accommodations, etc.).
Assist with gathering required information for new project setup.
Confirm initial project setups and data entries in Deltek.
Develop and update project status reports, including tracking accounts receivable and client payments, using data provided by others.
Provide document control and support project document management processes.
Proactively follow up on outstanding tasks to ensure timely completion.
Required Skills and Experience
- High School Diploma
- Minimum two (2) years' professional office administration experience
- Microsoft Word and Excel skills with working knowledge of other Microsoft Office products
- Ability to exercise sound judgment in managing confidential or sensitive information
- Excellent oral and written communication skills
- Excellent interpersonal and professional skills
- Ability to work in a fast-paced and demanding environment
- Excellent time management skills and ability to multi-task
- Highly organized and meticulous attention to detail
Preferred Skills and Experience
- Deltek and/or Vantage Point experience
- Auditing experience
- Experience working in an engineering or business setting with remote field staff
- Associates' or Bachelor's degree in a related field
